Salary, Non-Exempt •Pay will vary depending on various factors including location and level of experience.• Job Objective The Procurement & Inventory Specialist is responsible for overseeing purchasing, vendor management, supply chain coordination, and administrative operations to support production, quality assurance, and financial processes. This role ensures efficient procurement processes, maintains vendor compliance and performance, and manages inventory, shipping/receiving, and documentation systems while maintaining compliance with regulatory and company standards. The position supports operational efficiency and cross-functional coordination under the direction of the CFO. Essential Functions Manage procurement activities including vendor engagement, sourcing, purchase order generation, pricing negotiation, and maintenance of vendor records (W-9s, surveys, audits). Track purchase orders, sales orders, work orders, RMAs, invoices, and related documentation. Create, review, and maintain accurate billing, invoicing, and financial documentation to support accounting functions. Prepare and process domestic and international shipments, ensuring accuracy, proper packaging, labeling, and compliance with carrier and regulatory requirements (e.g., UPS, FedEx, Incoterms, ECCN, HS Codes). Receive and inspect incoming goods, verifying accuracy against purchase orders and identifying discrepancies or quality issues. Maintain accurate inventory records and oversee inventory control processes, and quarterly physical inventories. Utilize inventory management system to manage inventory, job tracking, and documentation in alignment with company and quality standards. Coordinate with production, quality, accounting, and remote teams to ensure operational alignment and inventory management across multiple locations. Maintain and control documentation in accordance with the Outerlink Quality Manual, ensuring audit readiness and regulatory compliance. Manage and order office supplies, ensuring availability of necessary materials and efficient organization of office resources. Identify and implement process improvements to enhance operational efficiency, reduce costs, and support compliance. Track and analyze project expenses, supporting the CFO with expense reporting, cost monitoring, and budget alignment. Additional duties as required. Knowledge, Skills, & Abilities (KSA) Knowledge of procurement, supply chain, logistics, and vendor management, with understanding of quality assurance, compliance, and risk management principles. Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced, high-volume environment. Ability to interpret technical and aviation-related documentation and collaborate effectively with cross-functional teams, including engineering, quality, and accounting. Proficiency in Microsoft Office (Word, Excel, Outlook) and inventory management and procurement systems. Effective communication, problem-solving, and interpersonal skills, with the ability to manage vendor and stakeholder relationships professionally. Ability to follow established procedures, maintain confidentiality, and ensure compliance with aviation and company documentation standards. Education & Experience (REQUIRED) High School Diploma or GED. (PREFERRED) Associate's or Bachelor's degree in Business, Finance, or a related field. (REQUIRED) 4-6 years of experience in procurement. (REQUIRED) 4-6 years of inventory management or administrative functions. (PREFERRED) 3-5 years of experience supporting financial functions (e.g., invoicing, expense tracking, or accounting support). (PREFERRED) Experience in a manufacturing or aviation environment, including familiarity with inventory systems and material coordination. (PREFERRED) Familiarity with aviation documentation and regulatory standards (e.g., FAA, CoC/8130-3). (PREFERRED) Familiarity with shipping practices (Incoterms, ECCN, HS Codes). Physical Demands The role is primarily sedentary, with extended periods of time spent sitting and working on a computer. Repetitive motion. Must have the ability to lift and carry up to 50 pounds. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Work Environment Office environment with standard equipment including computers, phones, photocopiers, filing cabinets, and fax machines Regular communication with remote supervisor and team members regularly. Noise level is usually low to moderate.
