Job Description

Role Overview Are you a detail-oriented professional who enjoys a mix of financial administrative tasks and hands-on inventory control? We are seeking an Inventory & Billing Specialist to join our team in Milford. This is a critical role that bridges the gap between our supply warehouse and our financial records. The ideal candidate is a proactive problem-solver who can communicate fluently in both English and Portuguese.
Key Responsibilities Supply & Inventory Logistics Inventory Audits:
Perform regular physical audits of cleaning supplies to maintain optimal stock levels.
Accurate Recordkeeping:
Track supply usage per client and reconcile inventory against check-out logs and incoming deliveries.
Proactive Ordering:
Anticipate needs and place timely orders for supplies and machine parts in advance
Shipping & Receiving:
Confirm all deliveries, verify packing slips against physical items, and report any discrepancies.
Billing & Financial Management Supply Billing:
Generate detailed invoices for supplies used, ensuring accurate quantity, unit pricing, and tax calculations.
Payment Processing:
Process credit card payments, deposit checks, and handle outgoing bill payments.
Recordkeeping:
Maintain a highly organized system for all receipts, invoices, and payment confirmations.
Accounts Receivable:
Monitor outstanding client balances and conduct professional follow-ups to ensure timely payments.
Inquiry Resolution:
Act as the primary point of contact for client billing questions. Generate operational and financial reports for management as requested.
Requirements Language:
Must be fluent in English and Portuguese (Verbal and Written).
Organization:
Exceptional time management skills and the ability to juggle physical inventory with digital data entry.
Mindset:
A proactive, "ownership" attitude, you see a task that needs doing and take care of it.
Location:
This is an on-site position in Milford, MA; consistent attendance is key to our team's success. Preferred Skills (Not Required, but a Plus): Experience with Accounts Receivable or client billing Experience managing inventory Experience with QuickBooks. Proficiency in Microsoft Office Suite (specifically Excel). Benefits & Schedule Monday through Friday, 9 AM - 5
PM Pay:
From $24.00 per hour
