Marketing Job Summary:
Avfuel, a privately held, industry-leading aviation company, is seeking a candidate to join our team at Avfuel's headquarters. This multifaceted role involves working a telephone switchboard, greeting guests, and executing a variety of administrative and logistical tasks. The position is ideal for individuals who excel in a dynamic environment, offering significant exposure to various company divisions and the opportunity for career advancement. This is a full-time position that balances front-facing customer service with behind-the-scenes logistical and administrative responsibilities, dedicating approximately 50% of the time to working our reception desk and the other 50% to handling various operational tasks.
Key Responsibilities:
Communicates professionally in person, on the phone and in email correspondence. Provides excellent customer service skills while interacting with employees, customers, vendors and visitors. Oversee the inventory and organization of office supplies, promotional items, and marketing materials. Manage logistics for domestic and international shipping, including tradeshow booths and materials for 50 shows per year. Facilitate local transportation needs for the executive office and airport runs for passenger pickups or deliveries to other facilities. Create and distribute welcome packages for new employees and onboard customers. Manage the inventory of uniforms for a sister company.
Managing company archives:
moving boxes, recording location on shelves, retrieving documents upon request, and eventual removal of documents for shredding. Provide backup support for the multi-line switchboard, directing calls as needed during staff absences. Occasionally handle clerical tasks such as mailings, copying, faxing, and managing incoming and outgoing mail via USPS, UPS, and FedEx. Undertake other duties and special projects as assigned by management.
Required Skills/Abilities:
Excellent communication skills, both verbal and written. Strong organizational and multitasking abilities. Proficiency in managing logistics and administrative procedures. Capability to work independently and in a fast-paced, collaborative environment. Positive energy and resourcefulness. Experience with shipping a plus. Always maintain a positive and outgoing attitude. Passionate about going above and beyond to create a lasting impression. Ability to multi-task, prioritize, and problem solve.
Physical Requirements:
At times, this position will be a mix of very active movement that requires standing, walking, bending, kneeling, stooping, crouching, on all days. Other periods will be more sedentary while working the phone lines or computer work. The employee must be able to lift and or move items over 50 pounds.
Education and Experience:
High school diploma or equivalent; further education or certification in office administration or project management is a plus. Must have experience answering the phone, email, filing, faxing and computer skills including Microsoft products. Ability to work independently while understanding the necessity for communicating and coordinating work efforts with other employees. Proven experience in customer service and/or handling special projects. Experience in providing great service to customers and co-workers. Must possess a valid driver's license and good driving record. Must be able to pass pre-employment background check. Experience with Microsoft Products Experience with Shipping a plus. EEO/ADA
