Job Description

Inventory / Operations Support Specialist Highland Botanicals - Piermont NY Role Overview - Highland Botanicals is seeking a detail-oriented and reliable Inventory / Operations Support Specialist to oversee daily inventory operations while supporting overall store management. This role is responsible for receiving, tracking, organizing, and maintaining accurate product inventory, while also assisting the General Manager with vendor coordination, reporting, and operational execution. The position includes light accounting responsibilities in QuickBooks Online, making accuracy, organization, and accountability critical. Key Responsibilities Receiving & Intake Assist with and receive and inspect all incoming deliveries for accuracy and condition Verify quantities against purchase orders and vendor invoices Report and resolve discrepancies (shortages, damages, incorrect items) promptly Enter vendor invoices into POS system and internal tracking sheets Assist with product intake, labeling, and compliance tracking (METRC) Ensure product details (descriptions, COAs, photos) are complete and accurate for new items Inventory Management Perform regular cycle counts and full inventory audits Maintain accurate inventory records across all systems Monitor vendor statements and reconcile against internal records Ensure credits are received for discrepancies, promotions, or billing errors Maintain clean, organized, and compliant storage areas Restock sales floor inventory as needed Ensure all products are properly stored, labeled, and tracked per SOPs Accounting Support (QuickBooks Online) Enter vendor bills and invoices into QuickBooks Onlineaccurately and in a timely manner Create and maintain vendor profiles and records Ensure alignment between inventory systems, internal tracking sheets, and accounting records Assist with vendor reconciliations and discrepancy tracking Operations & General Manager Support Assist the General Manager with day-to-day operational priorities Support vendor communication and follow-ups regarding orders, discrepancies, and credits Maintain internal tracking systems, reports, and documentation Assist with product launches, inventory planning, and store readiness Identify inefficiencies and help improve inventory and operational workflows Provide general administrative and operational support as needed Compliance Maintain strict adherence to all regulatory and company policies Ensure product integrity and prevent unauthorized access Follow all storage, handling, and disposal procedures Sales & Promotions Support Create and manage promotional pricing and discounts in POS system (Treez) Prepare weekly promotional materials for the sales floor Coordinate product photos and promotional details with the marketing team Key Performance Indicators (KPIs) Accuracy of receiving and inventory counts Timely resolution of discrepancies and vendor issues Accuracy across POS, inventory tracking, and QuickBooks Online Organization and compliance of inventory storage Effectiveness in supporting overall store operations Qualifications Strong attention to detail and organizational skills Experience with inventory systems and POS platforms (Treez a plus) Experience using QuickBooks Online(required) Ability to manage multiple priorities and adapt in a fast-paced environment Strong communication and problem-solving skills Preferred Experience Inventory, warehouse, or retail operations experience Experience in cannabis or other regulated industries Familiarity with METRC compliance system Experience with vendor reconciliation and invoice processing Why Join Highland Botanicals Fast-growing, team-oriented environment Direct exposure to operations and leadership Opportunity to grow into higher-level operational roles
