The Inventory & Asset Control Specialist will be responsible for maintaining accurate records and oversight of company-owned assets, equipment, vehicles, and inventory while ensuring compliance with regulatory requirements and internal controls. The Inventory & Asset Control Specialist is an onsite role and will play a critical part in supporting operations, accounting, and leadership teams through effective asset tracking, reporting, and process management. Success in this position requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
Maintain accurate records for company-owned assets, equipment, vehicles, trailers, and inventory throughout their lifecycle Track asset acquisitions, transfers, disposals, registrations, and retirements while ensuring data accuracy across systems Coordinate equipment registrations, title and tag renewals, permits, and compliance documentation Monitor asset utilization, mileage reporting, and equipment records to ensure accuracy and completeness Maintain asset and inventory information within asset management, fleet management, and accounting systems Assist with fixed asset tracking, reconciliations, and reporting activities Review and maintain lease schedules, equipment records, and supporting documentation Support internal and external audit requests by providing asset schedules, reconciliations, and compliance records Coordinate equipment inspections, recall repairs, maintenance tracking, and related operational activities Generate reports and perform analysis related to inventory, assets, equipment utilization, and compliance requirements Partner with accounting, operations, maintenance, and leadership teams to ensure accurate asset management and reporting Identify opportunities to improve asset tracking processes, reporting accuracy, and operational efficiency
Qualifications:
Previous experience in Inventory Control, Fixed Assets, Asset Management, Equipment Administration, Accounting, or a related role Strong understanding of inventory management, asset tracking, reconciliations, and recordkeeping processes Experience supporting compliance requirements, registrations, permits, and asset documentation Ability to manage multiple asset categories and maintain accuracy across large volumes of records Experience working in transportation, logistics, construction, manufacturing, equipment-intensive, or inventory-driven environments preferred Strong organizational skills with exceptional attention to detail Ability to prioritize multiple responsibilities while meeting deadlines in a fast-paced environment Strong analytical and problem-solving abilities Excellent verbal and written communication skills Professional discretion when handling confidential company information Proficiency with Microsoft Excel and asset management, fleet management, ERP, or accounting systems Experience with systems such as McLeod, TruckMate, Citrix, QuickBooks, AS400, or similar platforms is a plus #IND123
