  • Full-time Shipping & Inventory Specialist Job Description The Shipping & Inventory Specialist plays a critical role in ensuring every order leaves JYS with accuracy, professionalism, and a premium brand experience.
This position is responsible for packaging, shipping coordination, shipment tracking, carrier communication, damage claim management, inventory oversight, customer service support, customer pickup coordination, content capture, and maintaining efficient shipping operations across multiple order channels. This role is not just about packing boxes. The Shipping & Inventory Specialist serves as the final checkpoint for order accuracy, product presentation, customer experience, shipment accountability, and carrier follow-through. This position requires urgency, organization, attention to detail, clear communication, and ownership from the moment an order is completed through final delivery or pickup. Roles & Responsibilities Shipping & Order Fulfillment Pack and prepare outgoing orders according to the JYS Brand Experience Packaging Standards Verify shipping addresses prior to shipment to minimize delivery errors and returned packages Confirm all items, graphics, quantities, and order components are included before shipment Conduct final visual quality checks prior to shipment to ensure orders meet JYS standards Select the most efficient and cost-effective box and packaging configuration for each order Assist with oversized package preparation and specialized packaging procedures for large-format signage, fragile materials, and JYS Photo Props products Ensure all packages are professionally packed, protected, and presented in alignment with the JYS brand experience Ensure all packaging materials and branded inserts are included, such as: JYS magazine Thank you card Fragile stickers JYS branded exterior box sticker Proper protective materials including: Corner protectors Bubble wrap Black craft paper or wrapping paper Cardboard sliders Edge protection Cushioning materials Shipping Operations & Carrier Coordination Ensure the correct shipping service is utilized based on delivery timelines and customer requests Generate and fulfill shipments with accurate tracking numbers Upload and verify tracking information across all applicable sales platforms and systems Track shipments from dispatch through delivery completion Monitor tracking activity to identify: Delayed packages Packages without acceptance scans Delivery exceptions Missed pickups Stalled tracking updates Damaged delivery notifications Proactively communicate with UPS representatives and drivers regarding: Delayed packages Unscanned shipments Delivery exceptions Pickup concerns Package damage Carrier disputes Follow through on all shipment issues until resolution is reached Maintain a detailed log of damaged deliveries, shipping issues, and claim activity File carrier claims for damaged or lost packages and manage the process through final resolution File and manage shipping disputes with carriers as needed Communicate any recurring packaging, production, or shipping concerns to leadership proactively Inventory Management Manage and maintain inventory for JYS Photo Props products Receive, organize, and store incoming shipping supplies, packaging materials, and product inventory Monitor inventory levels and submit timely restock requests to avoid production, fulfillment, or shipping interruptions Keep JYS Photo Props inventory organized, accessible, and easy to locate Assist with organizing new product inventory, restocks, product samples, and completed product sets Help maintain accurate visibility of available products, packaging materials, and fulfillment supplies Identify low-stock items, damaged items, missing items, or recurring inventory concerns and communicate them proactively Maintain cleanliness and organization of the shipping, packing, and inventory areas Ensure product, packaging, and fulfillment materials are stored properly and ready for daily operations Customer Service & Customer Pickup Support Respond to customer inquiries professionally and in a timely manner Assist customers with questions related to order status, shipping updates, pickup readiness, product availability, and general order information Coordinate communication regarding local pickup orders with the appropriate team members Ensure customer pickup orders are complete, accurate, and ready before pickup Communicate clearly with customers regarding pickup timing, order details, or any updates needed Support a positive and professional customer experience during customer pickup interactions Escalate customer concerns, order issues, or special requests to leadership when needed Communicate pickup concerns or special order notes to the appropriate team member Help ensure customers receive the correct items whether their orders are shipped or picked up locally Content Capture & Brand Support Film product videos, shop content, behind-the-scenes clips, fulfillment content, and operational content as needed Capture photos of completed products, product sets, packaging, inventory, and shop processes Assist with preparing products, props, samples, or completed orders for photo and video content Help document the production, packing, shipping, inventory, and customer experience process for marketing use Support content needs for JYS Photo Props and other JYS brand channels as requested Help keep products, samples, and content areas organized and camera-ready when needed Capture content that reflects the quality, professionalism, and premium experience of the JYS brand Production Board & Operational Support Manage and maintain the "Complete" and "Claims" columns on the production board to ensure accurate order and claim visibility Ensure completed orders are properly documented and reflected in operational systems Support team operations during high-volume production periods as needed Assist in identifying opportunities to improve shipping efficiency, packaging methods, inventory organization, customer communication, and damage prevention processes Help maintain shop cleanliness by removing trash, breaking down boxes, organizing materials, and resetting the shipping area as needed Return tools, supplies, packaging materials, and inventory items to their designated locations Ensure the shipping area is clean, orderly, and ready for the next production cycle at the end of each day A Day in the Life of a Shipping & Inventory Specialist at JYS The Shipping & Inventory Specialist at JYS is responsible for far more than packing boxes. This role serves as the final checkpoint for quality, customer experience, shipment accountability, inventory organization, and carrier follow-through. Every day starts with organization, urgency, and proactive problem solving to ensure orders are moving efficiently, inventory is ready, customers are supported, and packages arrive safely.
Morning:
Shipment Monitoring, Customer Inquiries & Claims Management The day begins by reviewing all shipments from the previous business day to ensure packages are actively moving through the UPS network without delays or delivery issues. The Shipping & Inventory Specialist monitors tracking activity to identify delayed shipments, missing scans, delivery exceptions, missed pickups, stalled tracking updates, or damaged delivery notifications. If action is needed, the Shipping & Inventory Specialist immediately contacts UPS to gather additional information and begin resolution efforts. If a package requires further follow-up, notes are documented for discussion directly with the UPS driver during the daily pickup. The Shipping & Inventory Specialist also reviews customer inquiries related to shipping, pickup, order status, and general order questions. Customer communication should be handled professionally, clearly, and in a timely manner, with any concerns or special situations escalated to leadership as needed. The role also includes reviewing all active shipping claims and newly reported delivery issues. This includes filing new damage or loss claims, uploading supporting documentation and photos, maintaining organized claim logs, following up on open disputes, escalating unresolved carrier issues, and monitoring claim statuses until final resolution is reached. This structured morning workflow allows the production team time to generate and complete new orders for shipment while ensuring previously shipped orders and customer needs are still actively managed.
Midday:
Inventory, Packaging & Shipment Preparation As production orders begin moving into the completed queue, the Shipping & Inventory Specialist shifts into fulfillment, inventory, and packaging operations. Orders are carefully reviewed and packed according to the JYS Brand Experience Packaging Standards. Before any package is sealed, the Shipping & Inventory Specialist verifies shipping addresses, product quantities, correct graphics and versions, included accessories or add-ons, and overall order accuracy. Each shipment must include the required branded materials and presentation elements, including JYS magazine, thank you card, fragile stickers, exterior JYS branded stickers, and appropriate protective materials. Special attention is given to oversized signage, fragile boards, acrylic products, scored or folded materials, and JYS Photo Props products to reduce shipping damage and preserve the premium JYS customer experience. Throughout the day, the Shipping & Inventory Specialist also supports JYS Photo Props inventory by organizing products, monitoring stock levels, identifying restock needs, and ensuring products and packaging materials remain easy to locate. Content Capture & Shop Support As needed, the Shipping & Inventory Specialist also supports content capture for JYS. This may include filming product videos, capturing photos of completed products, recording behind-the-scenes shop content, documenting packing or shipping processes, and helping prepare products or samples for content. This content should help show the quality, care, organization, and premium experience behind the JYS brand. The Shipping & Inventory Specialist may assist with pulling products, arranging samples, preparing orders, or capturing simple photo and video content for marketing use. Customer Pickup & Customer Experience The Shipping & Inventory Specialist also supports customer pickup orders. This includes ensuring pickup orders are complete, accurate, and ready before the customer arrives. The role may also include communicating with customers about pickup timing, order readiness, and order details. Customer service is an important part of this position. The Shipping & Inventory Specialist may respond to customer inquiries related to order status, shipping updates, pickup readiness, product availability, and general order information. Communication should be professional, clear, and aligned with the JYS customer experience.
End of Day:
Carrier Pickup, Organization & Reset At the end of each day, the Shipping & Inventory Specialist ensures all ready shipments are prepared for pickup and that any notes or concerns are communicated to the carrier when needed. The Shipping & Inventory Specialist is also responsible for fully cleaning and resetting the shipping and inventory areas for the following workday. This includes removing trash and debris, organizing packaging materials, returning tools and supplies to their designated locations, breaking down boxes as needed, and ensuring the shipping area is clean, orderly, and ready for the next production cycle.
