Position Summary:
Provide support and management of key corporate administrative functions for various entities to include but not limited to: Fountainhead Development, Inc. (FDI), Equipment Source, Inc. (ESI) and Fountainhead Northwest, LLC (FNW), Folsom
LLC, PAC
West LLC, Market & Ellis LLC.
Duties:
- Set positive and professional example for other employees regarding appearance, enthusiasm, attitude, attendance and performance
- Provide clerical and administrative support to the corporate office leadership team
- Review and manage all property tax assessment payments and appeals
- Maintain acquisition/sale, title, ROW, building plans, and construction related records
- Maintain corporate records to included but not limited to, signing authorities, management agreements, corporate minutes, and dealer/distributor agreements
- Maintain all corporate licensing for various entities to included but not limited to, State, City, alcohol, ASCAP/Cloud Cover, and ESI DMV Dealer
- Manage large order purchasing, maintain purchase records for reordering, and 150+ online logins
- Manage freight FTL/LTL logistics for all entities
- Manage all fleet vehicle registration and licensing
- Assist with, attend and participate in meetings
- Communicate with other department managers to source equipment and supply needs
- Research products for pricing, durability, functionality, and obsolescence
- Assist President with document writing (emails, lease mark-ups, purchase agreements, and other contracts)
- Assist in vehicle acquisition/sales and merchandising for the Fountainhead Museum 501(c)(3)
- Operate company vehicle and forklift
- All other duties as assigned
Education, Knowledge and Skills:
- Valid Alaska driver's license required
- Current driving record sufficient to meet company insurance standards required
- Any combination of a 2 or 4-year degree and/or 5 years of administrative experience required
- Able to learn, understand and use multiple computer systems, software and hardware, and how they interface with one another
- Strong skills in the use of Microsoft Office Suite (Word, Excel, Outlook) to include import and export of spreadsheet data
- Able to analyze information and use logic to address issues
- Strong written and oral communication skills, to include effectively conveying information to others, and giving full attention to what other people are saying and taking the time to understand the points being made
- Able to listen, read and understand information provided by supervisors and co-workers
- Able to use sound judgment and make appropriate independent decisions
- Able to manage time and prioritize work to meet deadlines
- Knowledge of administrative and clerical procedures and systems such as data entry, managing documents and records, and other office procedures and technology
- Able to perform physical activities that require considerable use of arms, legs, and moving the whole body, to include, but not limited to, sitting, walking, bending, squatting, stooping, twisting, kneeling, reaching, pushing, pulling, lifting, carrying, standing for long periods of time, and climbing and descending stairs; to operate office equipment requiring repetitive hand movement and fine coordination including use of computer keyboard; to verbally communicate to exchange information; to see and hear within a reasonable range for an office/hotel environment with or without correction.
