The Opportunity The Hay Inventory & Logistics Coordinator is responsible for organizing, tracking, grading, and managing hay inventory produced across a large-scale commercial alfalfa & other forage farming operation. This role serves as the operational link between production and sales by ensuring accurate inventory records, proper stack identification, quality control, and accurate customer fulfillment. This individual will oversee hay stack organization, coordinate stack yard operations, manage inventory and production data systems, and ensure hay quality standards are maintained throughout storage and shipment processes. The position also plays a key role in supporting the company's AI-driven inventory and sales systems through accurate data collection and database management. What You'll Be Responsible For Coordinate the stacking, organization, and identification of hay inventory across multiple farm and stack yard locations. Assign, maintain, and track stack ID numbers to ensure complete inventory traceability. Organize and manage stack yards for operational efficiency, accessibility, and product preservation. Grade and sort hay according to established company quality standards and customer specifications. Provide quality control oversight for stacking procedures and storage methods. Coordinate loading activities for outbound semi-truck shipments. Ensure the correct hay products, grades, and quantities are loaded according to customer orders. Collect, organize, and input production and inventory data into company database systems. Assist in developing and maintaining databases used for AI-driven inventory management and sales systems. Generate inventory, production, and shipment reports for management and sales teams. Coordinate daily stack yard activities with production crews, harrowbed drivers, and equipment operators. Serve as the primary operational link between the Production Manager and Sales Manager. Support customer fulfillment efforts by ensuring accurate inventory visibility and shipment execution. Collect, organize, and coordinate the sampling of hay products for feed and nutrition analysis. What We're Looking For Qualifications High school diploma or GED required. College degree in Agriculture, Agribusiness, Logistics, Business Management, or related field preferred, but not required. Valid driver's license required. Experience in hay production, forage operations, agricultural logistics, inventory management, or related agricultural operations preferred. Experience creating, maintaining, and managing databases and digital inventory records. Experience logging and validating operational data for AI-driven inventory systems preferred. Bilingual proficiency in English and Spanish required. Basic computer skills required. Microsoft Excel and spreadsheet experience highly desirable. Strong organizational, communication, and leadership skills required. Physical & Work Requirements Ability to work outdoors in varying weather conditions. Ability to safely climb hay stacks and inspect inventory areas. Willingness to work extended hours during harvest and shipping seasons. Ability to operate pickups, UTVs, forklifts, loaders, or similar equipment is a plus. Position Goals Maintain accurate, organized, and sale-ready hay inventory across all stack yards. Ensure proper quality control and stack management practices. Eliminate shipment and inventory errors. Support AI-driven inventory systems with accurate, timely, and reliable data. Improve communication and coordination between production, logistics, and sales operations. Maintain efficient and organized stack yard operations throughout harvest and shipping seasons.
