Position Overview:
As Logistics Coordinator, your primary focus is the logistics and facilities of Arch to Freedom's six homes — keeping our properties, supplies, tools, vendors, and physical environment running at a high standard. You also work three to four (3-4) regular operations team shifts each week as Manager on Duty and serve as a cross-trained member of the leadership team capable of stepping in to support client care when needed. Your roles and responsibilities include, but are not limited to, the following:Key Responsibilities:
Logistics, Facilities, and Vendor Management (Primary Role) Serve as the program's single point of accountability for facilities, supplies, and vendor coordination across all six homes. Manage and schedule all third-party contractors, including landscaping, pool service, handyman services, and any specialty trade vendors brought in to support facility needs. Oversee the in-house Maintenance Technician, ensuring scope, schedule, and quality of maintenance work meet program standards. Bring in outside contractors and handymen to assist when maintenance tasks are beyond the scope of the in-house Maintenance Technician. Coordinate routine and on-call vendor visits to minimize disruption to residents and staff. Inventory, Supplies, and Equipment Maintain accurate inventory of all program supplies across every house and central storage location. Purchase and order supplies on a regular cadence so that no house is short of essentials. Ensure all tools and equipment are in good working order, accounted for, and stored in their designated locations. Conduct regular audits of closets, indoor storage, outdoor storage, sheds, and garages — keeping all areas outside of bedrooms and common spaces free of trash, clutter, leftover client belongings, and excess supplies, and ensuring all supplies, tools, and equipment are where they are supposed to be. Property Standards and Inspections Ensure landscaping is being performed to Arch to Freedom's standards across all properties, and address shortfalls directly with the landscaping vendor. Ensure the cleaning crew is cleaning to standards, and address shortfalls directly with the cleaning vendor. Oversee the Maintenance Technician to ensure thorough house inspections are occurring on the correct schedule and in the correct process, and that identified items are tracked through to completion. Operations Shifts and Manager on Duty Work three to four (3-4) regularly scheduled operations team shifts each week, performing standard Client Care Advocate duties — rounds, room and chore inspections, drug tests and breathalyzers, medication monitoring, transportation, intake/discharge tasks, incident response, and documentation in Behave — in accordance with the Client Care Advocate roles and responsibilities. Serve as Manager on Duty during these shifts, holding manager-level authority for in-the-moment decisions, conflict resolution, redirections, and escalation to the CPO or CEO. Document incidents, redirections, interventions, behavioral concerns, and cleaning issues in Behave under the resident's file. Operations Team Management and Leadership Support While logistics is the primary focus, this role is a member of the leadership team and shares responsibility for managing, developing, and holding the Client Care Advocate team accountable. These responsibilities include, but are not limited to: Conduct ongoing feedback and coaching conversations with Client Care Advocates regarding job performance, conduct, professionalism, and adherence to Arch to Freedom standards. Participate in and help facilitate formal performance reviews of Client Care Advocates — including the structured bi-annual reviews in January and July, and the two reviews within each new hire's first six months — alongside the CPO and Director of Client Care. Issue write-ups and warnings to Client Care Advocates when responsibilities, integrity expectations, or program standards are not being met, documenting the infraction thoroughly and communicating it clearly to the staff member. Help train, coach, and onboard new Client Care Advocates, including shadowing assignments, walking through systems and protocols, and signing off on competency. Hold the Client Care Advocate team accountable to operational standards on rounds, chore checks, room inspections, drug testing, documentation in Behave, and transportation/vehicle logs. Step in to provide client interventions and staffings when leadership presence is required, including supporting difficult conversations with residents, families, and clinical teams. Support the Chief Program Officer with day-to-day operational decisions, program execution, and escalations. Attend the Friday 10am Leadership meeting when possible, and contribute to discussions on staffing, policy, and program direction. Documentation and Communication Track and organize logistics, facility, and vendor tasks in Todoist, and communicate status, blockers, and needs to the leadership team. Communicate regularly with leadership about facility status, contractor performance, inventory needs, and any urgent maintenance or property issues. Participate in relevant WhatsApp threads and team emails for facility and operations coordination. Additional Responsibilities The CEO and/or the Chief Program Officer may request your assistance in the event of a crisis or the need for urgent staffing with a difficult resident. Given the leadership-tier nature of this position and the 45-50 hour/week expectation, you may need to work outside scheduled shifts to ensure these responsibilities are handled. Specific protocols and additional responsibilities may be provided by the CEO from time to time as needed.
