Job summary:
The Logistics Coordinator L1 role is responsible for providing essential support in the preparation and processing of documents for export shipments and managing customer inventory updates. This includes tasks such as printing, separating documents, preparing air pouches for shipment, and generating daily updates for the customers. ESSENTIAL DUTIES AND RESPONSIBILITIES
TIME SPENT Printing and Separating Export Shipment Documents:
Accurately print and separate documents required for export shipments, ensuring they are ready for further processing. Complete FMC compliance filings for all ocean import and export shipments in accordance with regulatory requirements. 30% Preparing Air Pouches for
Export Shipments:
Prepare air pouches by organizing and securely placing all necessary documents, ensuring compliance and readiness for shipment. 25% Report Preparation for
Key Clients:
Assist in the creation and preparation of accurate and timely reports for top clients to support operational efficiency. 15%
Providing Daily Customer Inventory Updates:
Deliver daily updates on customer inventory, maintaining detailed records and conducting necessary follow-ups to ensure accuracy and customer satisfaction. 15% Coordinating with the
Operations Team:
Collaborate with the operations team to streamline the processing and invoicing of shipments and improve workflow efficiency. 10%
Maintaining Organized Documentation Files:
Keep all shipment documentation and inventory reports well-organized for easy access and reference. Manage and order office supplies to ensure adequate inventory and smooth day-to-day operations. 3%
Operational Support:
Act as the vital link for the team by assisting with all warehouse-related tasks, including checking pallets, taking photos, and providing hands-on support. Additionally, welcoming guests, opening the door, escorting them to their designated areas, and ensuring a positive and professional first impression. Serving as an extension of the team's capability, your role is essential in maintaining smooth operations, comprehensive support, and a welcoming environment. Serve as a backup for the dispatch team to provide support during high-volume periods or when coverage is needed. 2% 100% Please note that this list is not exhaustive, and additional responsibilities may be assigned as needed to support the operations team and company goals.
Basic Qualifications:
High school diploma or equivalent; additional education in logistics or supply chain is a plus. Experience in an operations or logistics support role, particularly in export or document preparation, is preferred. Strong attention to detail and accuracy in document handling and preparation. Ability to manage multiple tasks efficiently and prioritize workload under time constraints. Strong communication skills for daily updates and collaboration with the team and customers. Basic computer skills and familiarity with common office software (e.g., Microsoft Office Suite).
