Ensures operational continuity by managing the master shipping calendar, executing high-priority fulfillment for client events, and serving as the lead for all inbound and outbound freight activity. Event Logistics Actively monitor the organizational shipping calendar to forecast requirements; ensure all departmental shipping needs are met with precision and adherence to deadlines. Execute the secure packing and staging of equipment for upcoming events, maintaining high standards for damage prevention and accuracy. Oversee the daily receipt of all parcel deliveries (FedEx, UPS, AIT), ensuring accurate documentation and internal distribution. Manage onsite relations with freight partners (AIT), serving as the point of contact for scheduled pickups, complex deliveries, and time-sensitive logistics windows. Maintain a high level of situational awareness regarding workflow, ensuring that incoming and outgoing shipments do not create disorganization within the office. Team Collaboration Review equipment shipments packed by other team members to ensure 100% accuracy in equipment, cables, etc. Act as a backup for teammates during out-of-office periods to ensure no disruption in exhibitor support. Assist various departments on projects and support during high-pressure event windows. Ongoing Communication Maintain consistent availability for internal meetings, client calls, and project planning during non-travel periods. Maintain accurate post-event reports to improve future deployments and update logistics standard operating procedures (SOPs). Equipment Maintenance Ensure eShow equipment is kept in good working order, maintained, and the office is organized and tidy. Onsite Execution (as needed) Travel to onsite events as needed. Oversee the end-to-end technology setup at event venues, including networking and hardware. Manage onsite technical staff and vendors to ensure all deployment timelines are met. Act as the "boots on the ground" lead during live events to provide immediate troubleshooting and ensure zero downtime for critical event systems. Requirements Proven working experience within warehouse logistics and shipping Proficient in standard logistics software Excellent analytical, problem solving and organizational skills Ability to work independently and handle multiple projects
