Fleet Coordinator 3.8 3.8 out of 5 stars Columbia, MS 39429 Full-time Looks Great Services 6 reviews Full-time Position Summary Looks Great Services of MS, Inc. is seeking a highly organized and detail-oriented Fleet Coordinator to support the daily operations of our nationwide fleet program. This position works directly under the Fleet Manager and assists with coordinating vehicle maintenance, tracking fleet assets, scheduling repairs, managing documentation, and supporting emergency storm response logistics. The Fleet Coordinator plays a key role in helping maintain operational readiness for vehicles, trailers, heavy equipment, and utility support assets operating across multiple states. Fleet & Asset Coordination
  • Assist with tracking company vehicles, trailers, and equipment nationwide
  • Update and maintain fleet databases, asset records, and GPS tracking systems
  • Monitor asset locations, availability, and operational status
  • Assist with equipment assignments and fleet scheduling Maintenance & Repairs
  • Schedule preventive maintenance and inspections
  • Coordinate repairs with internal mechanics and outside vendors
  • Track repair status, downtime, and maintenance records
  • Ensure maintenance documentation is properly completed and filed Compliance & Documentation
  • Maintain fleet compliance records including registrations, inspections, permits, and insurance documentation
  • Assist with DOT and OSHA compliance tracking
  • Monitor expiration dates for tags, inspections, and certifications
  • Support accident documentation and incident reporting processes Fuel & Vendor Coordination
  • Monitor fuel usage and fuel card reporting
  • Communicate with repair vendors, parts suppliers, and service providers
  • Assist with reviewing invoices and repair estimates
  • Help track fleet-related expenses and operating costs Storm Response & Logistics Support
  • Support emergency mobilizations during storm restoration and disaster response events
  • Assist with deployment tracking for equipment and vehicles
  • Coordinate logistical communication between field crews and fleet operations
  • Help ensure assets are ready for rapid deployment Reporting & Communication
  • Prepare fleet reports related to maintenance schedules, downtime, asset inventory, and compliance
  • Communicate regularly with field supervisors, mechanics, operations managers, and vendors
  • Assist the Fleet Manager with administrative and operational fleet tasks Qualifications - Required
  • Strong organizational and multitasking skills
  • Experience with Microsoft Office (Excel, Outlook, Word)
  • Good communication and problem-solving abilities
  • Ability to work in a fast-paced environment
  • Experience with fleet software, GPS systems, or equipment tracking preferred Qualifications - Preferred
  • Experience in transportation, construction, utility, or fleet operations
  • Knowledge of DOT regulations and fleet compliance standards
  • Experience coordinating maintenance schedules or vendor services Work Environment
  • Office-based with regular interaction in shop and yard environments
  • Occasional travel may be required
  • Availability during storm and emergency response events may be necessary Physical Requirements
