Job Description

This Part Time 25 hour per week position provides administrative support and customer service for the Mobility Manager, Office for the Aging, Veterans Service Agencies, and transportation providers. Coordinate communication, scheduling, and transportation services for veterans, seniors, individuals with disabilities, and low-income families. Assist customers by identifying appropriate transportation options, explaining eligibility requirements, and arranging services to meet their needs.
Key Responsibilities:
Deliver exceptional customer service by answering inbound calls, responding to inquiries, and documenting customer interactions accurately. Coordinate transportation scheduling and dispatch services, including volunteer driver assignments and transportation requests through the Office for the Aging. Serve as a liaison between customers, transportation providers, community agencies, and volunteer drivers to ensure efficient service delivery. Develop personalized trip plans and provide information on local and regional transportation resources. Perform administrative assistant duties including data entry, record keeping, maintaining databases, preparing reports, and supporting program operations. Accurately collect and maintain transportation, billing, and payment data while ensuring compliance with funding and reporting requirements. Monitor customer satisfaction, address service concerns, and communicate issues to management for resolution. Verify and document transportation funding sources and provide travel training information when requested. Maintain strong verbal and written communication with customers, staff, and community partners. Identify and report safety concerns and follow established procedures. Provide general office administration and administrative support to additional program areas as assigned.
Core Skills & Qualifications:
Administrative Assistant and office administration experience. Strong customer service and client relations skills. Experience with multiline phone systems and high-volume call handling. Data entry, database management, and record-keeping experience. Scheduling, coordination, and organizational skills. Proficiency with computers and Microsoft Office applications. Excellent written and verbal communication skills. Ability to work with diverse populations including veterans, seniors, individuals with disabilities, and low-income families. Knowledge of public transportation, medical transportation, human services, or community services preferred. High School Diploma or equivalent.
