About the Role We are seeking an experienced and detail-oriented Logistics & Document Specialist to manage customer orders from entry through final delivery in our fast-paced food manufacturing environment. In this key leadership role, you will serve as the primary liaison between customers and internal teams (Sales, Production, Inventory, Quality Assurance, Accounting, Warehousing, and Transportation), ensuring excellent customer service, accurate documentation, regulatory compliance, and timely shipments for premium hazelnut products. You will oversee logistics operations, manage domestic and international shipments, resolve issues proactively, and drive continuous improvement in supply chain efficiency.
THE LOGISTICS & DOCUMENT SPECIALIST RESPONSIBILITIES INCLUDE
Customer Service & Order Management Serve as the primary point of contact for customers regarding order status, inventory availability, shipment schedules, documentation, and delivery updates. Receive, review, enter, and process customer purchase orders accurately and timely. Coordinate orders from entry through final shipment and delivery, providing proactive updates on lead times, delays, and status. Resolve customer issues, transportation problems, and logistics challenges promptly and professionally. Maintain customer service records, communication logs, and performance metrics. Sales, Production & Inventory Coordination Support the Sales team with shipment updates, inventory information, quotations, and order communications. Collaborate with Production and Inventory teams to confirm availability, monitor levels, and align commitments with capacity. Review demand against forecasts and escalate constraints to prevent shortages or delays. Coordinate with Accounting on credit applications, payment terms, and invoice follow-up. Quality Assurance & Compliance Work with Quality Assurance to ensure all laboratory results, certificates, specifications, and release requirements are met prior to shipment. Verify products meet customer and regulatory standards. Manage import/export documentation and ensure full compliance with government and company requirements. Logistics & Transportation Management Coordinate domestic and international shipments (truck, rail, ocean) with carriers, freight forwarders, brokers, and warehouses. Negotiate rates, analyze transportation options, and implement cost-effective solutions. Monitor shipments in transit and resolve scheduling or delivery issues. Direct distribution and warehouse activities to meet cost, accuracy, and timeliness goals. Team Leadership & Cross-Functional Coordination Train and support shipping department personnel on logistics procedures, documentation, and customer service standards. Act as the central coordinator across departments to ensure seamless order fulfillment. Track issues, implement corrective actions, and participate in process improvement initiatives. Maintain accurate records, reports, and documentation for traceability and compliance. Continuous Improvement Identify opportunities to enhance logistics efficiency, reduce costs, minimize waste, and improve customer satisfaction. Analyze operations and recommend technology, process, or routing improvements. Develop risk management strategies for supply continuity. What You Bring Minimum 3 years of logistics experience (Required). At least 1 year of leadership or supervisory experience (Required). High School Diploma or equivalent; relevant college coursework preferred. Bilingual in English/Spanish preferred . Strong knowledge of import/export documentation, transportation management, and supply chain processes. Excellent analytical, problem-solving, communication, and organizational skills. Proficient in Microsoft Office (especially Excel), databases, and logistics/ERP systems. Reliable, detail-oriented, and able to thrive in a fast-paced environment. Preferred Qualifications Experience in food manufacturing, agricultural products, or tree nut industry. Familiarity with FDA, USDA, or international trade regulations. Knowledge of lean manufacturing or continuous improvement principles. Previous experience with warehouse/distribution operations.

WORKING CONDITIONS/PHYSICAL FACTORS
Primarily office-based work in front of a computer screen for most of the shift. Occasional exposure to production/warehouse areas with temperatures below 40°F and above 90°F. Exposure to a loud working environment; hearing protection is mandatory in production areas. Must be able to work in an environment containing allergens (hazelnuts, etc.). Required to use hands and fingers; frequently required to talk or hear. Day shift schedule with potential for occasional weekends and overtime.
