The Fleet Specialist is responsible for maintaining a reliable and cost-efficient fleet of vehicles to support the Company Car Program. This role oversees the scheduling of vehicle deliveries and returns for internal associates, ensuring seamless fleet operations. Each Fleet Specialist manages approximately 500-600 vehicles, requiring a high level of organization and attention to detail. Daily responsibilities include scheduling vehicle pick-ups and drop-offs, running reports through the internal system, and monitoring vehicle mileage to ensure timely returns before reaching the designated threshold. This position works collaboratively in a team environment with up to eight other Fleet Specialists, contributing to the overall efficiency and effectiveness of the fleet management process.Must-Have Qualifications:
SAP Strong MS Excel experience Fleet Specialist Under the supervision of the Vehicle Administration Supervisor, the Fleet Specialist is responsible for maintaining a reliable and cost-efficient fleet of vehicles to support the Company Car program. This role focuses on delivering exceptional customer experiences, building positive relationships, and collaborating with team members, customers, vendors, and dealerships to meet specific business needs.Position Responsibilities/Accountabilities:
The Fleet Specialist is responsible for the following key duties: Build and/or source client vehicles for associates and retirees within assigned regions Coordinate vehicle exchanges and fleet operations for company car programs Schedule trucking and transportation for vehicle deliveries and returns as needed Coordinate with dealership staff regarding vehicle arrivals, exchanges, vehicle condition, pricing, and returned vehicle sales Arrange vehicle pick-up and transportation when dealerships decline returned vehicle purchases Complete all required system updates, documentation, consignment paperwork, and auction processing for returned vehicles Ensure timely company vehicle exchanges to meet monthly wholesale and retail targets Communicate directly with associates, retirees, and eligible drivers to schedule and complete vehicle exchanges Update and maintain accurate information within vehicle administration systems Inspect and ensure returned vehicles meet company condition standards Deliver high levels of customer service throughout all vehicle exchange interactions Coordinate vehicle titling and registration activities with local title and registration vendors Process and coordinate payment for company car program expenses, including towing and vehicle-related invoices Coordinate repairs and maintenance for company vehicles through dealerships, certified collision centers, workshops, and local repair facilities Manage repair timelines from vehicle pick-up through completion to minimize customer downtime Serve as liaison between associates and insurance companies regarding vehicle incidents and damage claims Document and report driver-related issues that create significant business expense or operational risk Monitor and optimize company car inventory levels and vehicle resale performance metrics Support achievement of business goals including highest resale value and shortest days-to-sell targets Ensure compliance with federal and state vehicle damage disclosure requirements Maintain accurate electronic and paper vehicle records, including condition reports, plate assignments, and damage disclosures Manage day-to-day operational issues and respond to escalated or high-priority customer concerns Recommend process improvements and operational solutions to support business needs Perform additional duties and special projects as assigned by leadership or operations management Performs other duties as assigned by the client location or dealership Operations Supervisor.Education:
Bachelor's degree or the equivalent of four years of related professional experience.Experience:
2+ years of experience delivering exceptional customer service. 1+ years of experience in retail, operations, or transportation. 1+ years of experience working in a fast-paced and diverse environment. 1+ years of experience demonstrating excellent oral and written communication skills. 1+ years of experience with Microsoft Office. 1+ years of experience developing relationships and collaborating across teams. 1+ years of experience with analytical thinking and problem-solving. 1+ years of experience conducting research to make data-driven decisions.Licenses and Certifications:
