Job Description

The Inventory & Logistics Coordinator is responsible for overseeing inventory accuracy, coordinating inbound and outbound shipments, managing material movement, and supporting logistics operations across the organization. This position serves as a key link between purchasing, warehouse operations, production, transportation providers, and project teams to ensure materials are available, properly tracked, and delivered on schedule. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining compliance with company policies, contractual requirements, and inventory control procedures. Essential Duties and Responsibilities Inventory Management Maintain accurate inventory records within inventory management and ERP systems. Monitor inventory levels and coordinate replenishment activities to prevent stock shortages or production delays. Track and reconcile inventory transactions, investigating and resolving discrepancies as needed. Generate inventory reports and provide inventory status updates to management. Monitor government-furnished materials and inventory assigned to specific contracts, projects, or production jobs. Logistics Coordination Coordinate inbound and outbound shipments with suppliers, carriers, customers, and internal departments. Schedule freight pickups and deliveries while ensuring materials arrive on time and in good condition. Track shipments and communicate delivery status updates to stakeholders. Resolve transportation issues, shipment delays, and freight discrepancies. Assist with carrier selection and logistics planning to support operational needs. Receiving & Material Verification Verify incoming shipments against purchase orders, packing slips, and shipping documentation. Inspect received materials for quantity, quality, and damage. Ensure all received materials are properly documented and entered into inventory systems. Coordinate with procurement and vendors to resolve receiving discrepancies. Shipping & Distribution Prepare shipping documentation, including Bills of Lading (BOLs), packing lists, and other required paperwork. Ensure shipments are properly packaged, labeled, and documented. Coordinate with loading personnel to ensure accurate and damage-free shipments. Maintain shipment records and tracking information. Inventory Audits & Reporting Conduct cycle counts and physical inventory audits. Reconcile physical inventory to system records and investigate variances. Prepare weekly and monthly inventory and logistics reports. Monitor inventory performance metrics and identify opportunities for process improvement. Compliance & Process Improvement Ensure compliance with company policies, safety standards, contractual requirements, and regulatory guidelines. Assist in developing and improving inventory control and logistics procedures. Support continuous improvement initiatives focused on inventory accuracy, material flow, and transportation efficiency. Train and support team members on inventory and logistics processes when needed. Qualifications Education & Experience High school diploma or GED required; Associate's degree in Supply Chain, Logistics, Business, or related field preferred. Minimum 3-5 years of experience in inventory control, logistics coordination, supply chain operations, warehouse management, or related fields. Experience working with ERP systems, inventory management software, and transportation documentation. Knowledge, Skills & Abilities Strong understanding of inventory control and logistics processes. Proficiency in Microsoft Office Suite, particularly Excel. Experience with ERP and inventory management systems. Strong analytical and problem-solving skills. Excellent organizational and time-management abilities. Ability to prioritize multiple projects and deadlines. Strong verbal and written communication skills. Ability to work effectively with suppliers, carriers, warehouse personnel, and internal stakeholders. Certifications & Requirements Ability to obtain Material Handling Equipment (MHE) certification within 30 days of employment. Ability to safely operate forklifts and material handling equipment ranging from 3,000 to 60,000-pound capacities. Working knowledge of transportation, shipping, receiving, and warehouse safety regulations. Physical Requirements Ability to work in warehouse, manufacturing, and outdoor environments. Ability to lift up to 50 pounds occasionally. Ability to stand, walk, bend, and perform physical inventory activities as needed. Work Schedule Core working hours are Monday through Friday, 8:00 AM to 5:00 PM. Flexibility to work alternate schedules, including 3:00 PM to 11:00 PM, evenings, weekends, and overtime as business needs require.
