Exempt Position Description Summary:
The Supply Chain Specialist plays a critical role in ensuring the timely progression of jobs through both internal production processes and external supplier networks. This individual owns visibility and execution across the full job lifecycle, from raw material and subcontracted services to final fabrication and shipment. The role serves as the central point of coordination for job status, proactively identifying risks, removing bottlenecks, and driving accountability to maintain schedule integrity. This is not a passive tracking role. Success requires hands-on involvement, real-time validation of status, and immediate action when commitments are at risk. Key Responsibilities Own Job & Supplier Delivery Performance Maintain accurate, real-time visibility of all active jobs across internal departments and external suppliers Validate and continuously update delivery commitments based on actual progress, not assumptions Ensure alignment between supplier timelines and internal production schedules Internal Expediting & Production Coordination Track and monitor job progress across stages of fabrication to support subcontracted structures. Partner with production, quality, planning, and engineering to ensure priorities are clearly understood and executed Help prioritize work based on due dates, customer commitments, and critical path items Step in to assist in removing bottlenecks when needed to keep jobs moving External Supplier Expediting Communicate regularly with vendors and subcontractors (heat treating, coating, NDT, machining, etc.) to confirm status Proactively identify risks to delivery and act before they impact production Drive recovery plans when commitments slip (partial shipments, resequencing, alternate suppliers, etc.) Accountability & Escalation Hold suppliers and internal teams accountable to commitments Push for clear, actionable updates. Escalate issues quickly when performance does not meet expectations Field Verification Visit key suppliers and subcontractors as needed to verify production status Ensure reported progress aligns with actual conditions and timelines Communication & Reporting Maintain accurate tracking tools, status boards, and ERP system updates Provide daily/weekly updates on job status, risks, and late items to leadership Participate in production meetings to communicate status, highlight risks, and propose solutions Problem Solving & Continuous Improvement Identify delays, shortages, and process inefficiencies early Take ownership of solutions and follow through to resolution Recommend and support process improvements to reduce lead times and improve workflow What Success Looks Like High on-time delivery (OTD) performance from suppliers Accurate, reliable visibility across all work in progress Early identification of risks with clear mitigation plans Minimal disruption to production schedules and customer commitments Strong alignment between purchasing, production, and supplier performance What This Role Is Not Not a passive 'status tracking' position Not limited to email follow-ups Not a role where problems are handed off instead of owned Position Requirements Education & Experience Associate's degree in a technical field (bachelor's preferred), or equivalent experience 2+ years of experience in manufacturing, fabrication, supply chain, or production coordination Experience in expediting, production control, or supplier coordination strongly preferred Familiarity with fabrication processes (welding, machining, assembly) preferred Ability to read and understand work orders, job travelers, and engineering drawings Skills & Competencies Strong organizational and time management skills Excellent communication and follow-up abilities Proactive, hands-on, and solution-oriented mindset Ability to push back, ask hard questions, and hold others accountable Comfortable working both on the shop floor and with external suppliers Strong sense of ownership—does not wait for problems to escalate Experience with ERP/MRP systems and Microsoft Office (especially Excel) Physical Demands & Work Environment This position operates in both an office and production environment. Regular interaction on the shop floor and occasional travel to supplier locations is required.
