Transportation Lead - SH Woodscross, UT 84010 Apply Overview Position Type Full Time Job Shift Day Education Level High School Travel Percentage Up to 25% Category Transportation Apply Description transporation lead Job Description Department Operations Reports to Transportation Manager Reporting to this position None Job Classification Non-exempt Position Purpose This position supports the daily operations of the transportation department and helps to ensure safe, reliable and compassionate transportation services for residents, patients and clients while assisting with onboarding, staff education and training, workflow coordination and maintaining department standards. Required Qualifications High school diploma or equivalent required Be at least 18 years of age At least 1-2 years of experience in transportation, scheduling, dispatching, customer service, healthcare coordination ore related field is preferred Current and valid state issued driver's license with acceptable driving record. Ability to safely operate company transportation vehicles, including wheelchair accessible vans. Proficient in Microsoft Office (Outlook, Excel, Word) and able to quickly learn routing/scheduling software such as MediRoutes, RouteMatch or similar programs. Must possess current CPR and First Aid certifications (or obtain within 30 days upon hire). Strong interpersonal, leadership, communication, customer service, and problem solving skills. Ability to multitask and adapt in a fast-paced environment with changing priorities Knowledge of HIPAA and patient confidentiality requirements. Ability to lift 50 pounds and perform physical movements required for resident assistance and vehicle operations. Ability to work beyond normal working hours, including weekend and holidays when necessary. Demonstrated ability to train, mentor and support team members professionally and effectively. Demonstrates leadership potential and ability to support departmental growth and development. Major Duties and Responsibilities Transportation Operations Transport residents, patients, and clients safely and timely to and from appointments, treatments, and healthcare-related destinations. Provide compassionate, professional, and reliable transportation services. Perform daily vehicle inspections and safety checks including lights, brakes, tires, wheelchair lifts, seatbelts, fluids, and other operational equipment. Assist residents and clients safely in and out of vehicles, wheelchairs, stretchers, and facility entrances as needed. Ensure company vehicles are clean, fueled, and properly maintained. Coordinate transportation schedules and appointments with office staff, healthcare facilities, and internal departments. Secure required appointment paperwork and ensure timely delivery to appropriate staff. Scheduling & Dispatch Support Build, maintain, and adjust daily transportation schedules and routes to maximize efficiency and on-time performance. Dispatch drivers in real time and respond to schedule changes, delays, call-offs, emergencies, or vehicle issues. Monitor driver coverage, overtime, route efficiency, and scheduling gaps. Communicate professionally with residents, patients, families, facilities, and staff regarding transportation updates and scheduling needs. Assist with trip documentation, mileage tracking, driver logs, and operational reporting. Help ensure compliance with Medicaid, Medicare, HIPAA, ADA, DOT, and company transportation standards. Review transportation documentation, trip logs, and driver paperwork for accuracy and completeness. Leadership & Training Support Assist the Transportation Manager with onboarding and orientation of new transportation staff. Provide hands-on training and mentorship for drivers regarding transportation procedures, scheduling software, vehicle safety, documentation standards, and customer service expectations. Serve as a lead resource for drivers and assist with resolving operational questions during daily activities. Assist in monitoring daily transportation operations to ensure schedules, staffing, and service standards are maintained. Reinforce company expectations regarding professionalism, attendance, safety, documentation, and customer service. Promote teamwork, accountability, safety, and a positive workplace culture throughout the department. Lead Responsibilities Serve as a role model for professionalism, customer service, safety, and teamwork. Promote and help maintain a culture focused on delivering the highest quality transportation services with compassion, professionalism, safety, and patient-centered care. Assist with day-to-day coordination of transportation staff and workflows. Communicate operational concerns and staffing needs to the Transportation Manager. Help maintain consistency in departmental procedures and expectations. Problem Solving & Operational Support Respond quickly and professionally to transportation issues to minimize service disruptions. Assist in resolving transportation complaints, scheduling conflicts, delays, or service concerns. Identify workflow inefficiencies and recommend operational improvements to management. Support department coverage during staffing shortages or high-volume periods. Additional Assigned Tasks Assist nursing staff as needed for transportation or transportation-related activities. Treats all residents, patients and clients with dignity and respect. Promotes and protects all residents' rights. Establishes a culture of compliance by adhering to all policies and procedures. Complies with standards of business conduct, and state/federal regulations and guidelines. Follows appropriate safety and hygiene measures at all times. Maintains confidentiality of protected health information, including verbal, written, and electronic communications. Reports noncompliance with policies, procedures, regulations, or breaches in confidentiality to appropriate personnel. Reports any retaliation or discrimination to HR or compliance officer. Reports any allegations of abuse, neglect, misappropriation of property, exploitation, or mistreatment of residents to supervisor/Administrator/Abuse Coordinator. Protects residents, patients and clients from abuse, and cooperates with all investigations. Reports any occupational exposures to blood, body fluids, infectious materials, and/or hazardous chemicals in accordance with policies. Participates in emergency drills and trainings. Fulfills responsibilities as assigned during implementation or activation of any emergency plan. Reports work-related injuries and illnesses immediately to supervisor. Follows established infection control policies and procedures. As a condition of employment, completes all assigned training and skills competency. Ability to assist in evacuation of residents, patients and clients during emergency situations. Ability to bend, stoop, kneel, crouch, perform overhead lifting and perform other common physical movements as needed for the position. May be subject to falls, burns from equipment, and/or odors throughout the day; encounter reactions from dust, tobacco smoke, disinfectants, and other air contaminants. Subject to exposure to infectious waste, diseases and/or conditions which include AIDS, Coronavirus, Hepatitis B, and Tuberculosis. May be subject to hostile or emotional residents, patients, clients and family members, visitors or personnel. Effective verbal and written communication skills and ability to exercise judgement.
