Job Title:
Logistics Specialist Job Description The Logistics Specialist oversees all aspects of domestic and international incoming and outgoing freight, with a strong focus on shipments to and from Italy and other international destinations. This role ensures timely, accurate shipping information for internal and external customers, maintains compliance with customs regulations, and optimizes shipping methods to support an efficient and reliable supply chain. Responsibilities Manage all domestic and international incoming and outgoing freight, with a particular emphasis on shipments to and from Italy and other international locations. Provide timely and accurate shipping information to internal stakeholders and external customers to ensure transparency and on-time delivery. Maintain shipping timelines and proactively communicate status updates, changes, and issues to all relevant individuals and teams. Determine the most economical and efficient shipping methods for domestic and international shipments, balancing cost, speed, and reliability. Negotiate rates and terms with carriers and logistics vendors to secure competitive pricing and high service quality. Prepare bills of lading and related documentation for all common carriers and courier services for both domestic and international shipments. Coordinate and provide notifications of all import and export documentation to appropriate local and foreign entities to support smooth customs clearance. Review freight bills and invoices for accuracy, identify discrepancies, and work with carriers or internal teams to resolve issues. Maintain compliance with customs rules and regulations related to the import and export of all products, ensuring documentation and processes meet regulatory requirements. Use SAP or other ERP systems to manage shipping, inventory, and logistics data, ensuring accurate data entry and record keeping. Collaborate closely with inventory, supply chain, and other cross-functional teams to support efficient material flow and on-time delivery. Support vendor management activities related to logistics and transportation providers, including performance monitoring and relationship management. Utilize Microsoft Excel and the broader Microsoft Office Suite to track shipments, analyze logistics data, and prepare reports. Contribute to a positive team environment by sharing knowledge, supporting colleagues, and leveraging the experience of a tenured workforce. Essential Skills 3+ years of experience in shipping and receiving, including hands-on responsibility for domestic freight. Experience with international logistics (import/export), with exposure to European shipments considered a strong advantage. Proficiency with SAP or other ERP systems to manage logistics, inventory, and shipping processes. Strong understanding of logistics, shipping, and receiving processes across domestic and international operations. Experience in vendor management, particularly with carriers and logistics service providers. Proficiency in Microsoft Excel and the broader Microsoft Office Suite for data management and reporting. Ability to maintain compliance with customs rules and regulations for import and export activities. Strong data entry skills with a high level of accuracy and attention to detail. Effective verbal and written communication skills to interact with internal teams, vendors, and customers. Ability to manage timelines, prioritize tasks, and handle multiple shipments and requests simultaneously. Additional Skills & Qualifications Experience with European logistics, particularly shipments to and from Italy, is highly beneficial. Background in supply chain or inventory management environments. Experience working within a manufacturing setting and coordinating logistics for manufactured products. Demonstrated ability to negotiate rates and terms with carriers and logistics vendors. Strong problem-solving skills to resolve freight discrepancies and documentation issues. Comfort working in a team environment with a tenured workforce and willingness to learn from experienced colleagues. Work Environment This role is fully onsite Monday through Friday from 8:00 a.m. to 5:00 p.m., providing consistent daytime hours in a stable schedule. After approximately 90 days, there is potential to transition to a hybrid arrangement with up to two days per week working remotely, depending on performance and business needs. The logistics team is small, with a team size of around three people, allowing for close collaboration and strong peer support. The manufacturing floor and overall facility offer a clean, well-maintained, and pleasant environment, and the organization experiences very low turnover, reflecting a stable and supportive workplace culture. The work involves regular use of SAP or other ERP systems, Microsoft Excel, and other Microsoft Office tools, as well as interaction with carriers, vendors, and internal departments in a professional office and manufacturing setting. Job Type & Location This is a Contract position based out of Richmond, VA. Pay and Benefits The pay range for this position is $26.00 - $28.00/hr.
