Job Title:
Logistics Specialist | Fully Onsite- Springfield, VA | $18-20/HR | 6 Month Contract to Hire Job Description The VA SF Logistics Specialist coordinates and executes customer vehicle relocation orders while supporting all related business operations. This role focuses on managing customer orders from start to finish, scheduling vehicle pickups and deliveries, arranging additional services, and maintaining accurate, up-to-date information in the CRM system. The specialist communicates frequently by phone and email with internal staff, independent contractors, and pickup and delivery contacts, ensuring all instructions are followed and issues are resolved promptly. This is an on-site position in a fast-paced environment that requires strong customer service skills, attention to detail, and the ability to manage multiple tasks simultaneously. Responsibilities Manage the execution of customer vehicle relocation orders from initial request through completion. Coordinate and schedule timely pickup and delivery of customer vehicles, ensuring all customer instructions are followed precisely. Optimize order execution by efficiently linking multiple orders where possible. Oversee the accurate and timely completion of additional services such as vehicle detailing, titling and registration, and vehicle placement into storage. Communicate promptly and professionally via email, telephone, and CRM with internal staff, independent contractors, and pickup and delivery contacts. Escalate issues to management as appropriate to ensure timely resolution and customer satisfaction. Update CRM activities and notes immediately after each phone call and email, maintaining accurate and complete order records. Upload photos and scanned documents into the CRM system and create follow-up tasks to maintain accurate, time-sensitive notes. Ensure compliance with company policies and procedures throughout all order activities. Ensure adherence to applicable DOT regulations and all relevant federal, state, and local laws. In the absence of a manager or under a manager's direction, calculate and offer flat fees on orders by preparing and emailing bid sheets to independent contractors. Manage the storage facility (where applicable), including daily oversight of vehicles moving in and out using VIN and order verification. Check vehicles into and out of the storage facility, reviewing vehicles for damage or issues and documenting findings. Take inventory of any items left inside vehicles and record them according to company procedures. Move vehicles in and out of the lot, including bringing vehicles into the secure lot when drivers drop them off and staging vehicles for pickup. Account for all vehicles on the lot and reconcile inventory regularly. Verify that vehicles start and operate as expected, and communicate any issues to headquarters so they can be addressed before reactivation. Monitor and manage team dashboards to keep orders moving and tasks on track. Provide outstanding customer service by keeping customers informed with up-to-date information on order status and developments. Demonstrate effective time management by prioritizing tasks, following through, and completing work within required timeframes. Adhere to organizational goals and objectives while maintaining quality standards. Demonstrate open, effective communication and teamwork with colleagues and independent contractors. Balance client requirements with company policies and operational procedures. Act with integrity and professionalism in all internal and external interactions. Essential Skills High school diploma or equivalent. At least 6 months of customer service experience. 0-2 years of logistics experience focused on movement of inventory from point of origin to destination or a related discipline. Experience working with CRM systems for order tracking and customer communication. Strong data entry skills with high attention to detail and accuracy. Proficiency with Microsoft Office, particularly Excel, including working with spreadsheets. Ability to type at least 37 words per minute (typing test required). Strong verbal and written communication skills for frequent phone and email interactions. Comfort working in a fast-paced office environment while multitasking and managing several concurrent projects. Ability to learn and utilize all company systems, equipment, and any updates or upgrades. Demonstrated customer support experience in environments such as call centers, dispatch, or logistics coordination. Ability to coordinate scheduling, dispatch, and logistics for independent contractors and drivers. Proven ability to manage time effectively and follow through to completion on tasks and orders. Ability to respond and act confidently, assertively, and decisively while taking responsibility and accountability for role requirements. Comfort serving as a main point of contact for independent contractors, including truck drivers. Willingness and ability to work on-site as required. Additional Skills & Qualifications Inventory experience is a plus. Advanced computer skills beyond basic office applications are preferred. Experience with inbound and outbound calls in a customer support or call center setting. Background in dispatch, logistics, scheduling, or coordinating field operations is beneficial. Ability to enjoy and contribute to a cooperative and considerate team environment. Demonstrated professionalism, honesty, trustworthiness, respect, courtesy, and patience in daily interactions. Flexibility and adaptability in a fast-paced and evolving operational environment. Cultural awareness and a strong, reliable work ethic. Comfort working with independent contractors and external partners to assign and manage orders. Work Environment This is a fully on-site role based at a field office in Springfield, VA, operating in a fast-paced logistics and fleet transport environment. The work involves frequent communication with internal teams and independent contractors (including truck drivers) by phone and email, as well as regular use of CRM systems, Microsoft Office (especially Excel), and other business software tools. Where applicable, the role includes time in a vehicle storage facility and lot, moving vehicles in and out of secure areas, staging vehicles for pickup, and verifying vehicle condition and operability. The schedule typically follows a standard weekday, five-days-a-week office pattern. The dress code is business casual: tops, pants (including jeans), skirts, and dresses should be clean, well-pressed, and not show wear. Tight-fitting or overly baggy clothing, t-shirts, shirts with slogans, sweatshirts or hoodies, tank tops, tops with spaghetti straps, muscle shirts, crop tops, short skirts, shorts, leggings, pants with holes, pants worn below the waistline, athletic apparel, athletic shoes, flip-flops, hats, and crocs are not considered appropriate business attire.
