Job Description
Position Summary We are seeking a highly organized and detail-oriented Site Administrator to support the daily administrative and logistical functions of our equipment storage and service facility. This position serves as a central point of communication between site personnel, customers, transportation providers, and management while ensuring accurate documentation, timely updates, and efficient information flow. The ideal candidate thrives in a fast-paced environment, possesses strong Microsoft Office skills, and can manage multiple priorities while maintaining exceptional attention to detail. Key Responsibilities 1. Serve as the primary administrative point of contact for site operations and customer communications. 2. Maintain accurate records related to equipment arrivals, departures, inventory status, inspections, and service activities. 3. Provide customers with timely updates regarding equipment status, movement, and site activity. 4. Coordinate and distribute information between customers, transportation providers, site personnel, and management. 5. Process and maintain shipping, receiving, delivery, and transportation documentation. 6. Support logistics activities by coordinating appointments, tracking shipments, and maintaining transportation records. 7. Monitor equipment movement and ensure all associated documentation is complete and accurate. 8. Maintain electronic filing systems and organized records using company software platforms. 9. Generate routine reports and provide administrative support for operational metrics and customer requests. 10. Assist with invoice support, purchase order documentation, and record retention as required. 11. Ensure data accuracy across spreadsheets, databases, and business systems. 12. Identify documentation discrepancies and work with appropriate personnel to resolve issues. 13. Support continuous improvement efforts related to administrative processes and reporting. Required Qualifications 1. 2+ years of administrative, logistics, customer service, or office coordination experience. 2. Advanced proficiency in Microsoft Excel, Outlook, Word, and Teams. 3. Strong organizational and multitasking skills. 4. Excellent written and verbal communication abilities. 5. Strong attention to detail and commitment to data accuracy. 6. Ability to work independently while managing multiple priorities. 7. Professional customer service and relationship management skills. Preferred Qualifications 1. Experience in logistics, transportation, construction, equipment, manufacturing, or industrial environments. 2. Experience with ERP systems and inventory tracking software. 3. Familiarity with SharePoint and document management systems. 4. Experience in preparing reports and maintaining operational records. Key Success Factors 1.
