In this vital role, you will be the first point of contact for patients and staff, ensuring smooth scheduling, efficient appointment management, and seamless communication across the dental practice. Duties Manage daily dental appointment scheduling using advanced EMR (Electronic Medical Records) systems such as Dentrix, Eaglesoft, or similar platforms like Meditech and Epic. Verify insurance coverage and perform insurance eligibility checks utilizing systems like Athenahealth, Meditech, or other EHR (Electronic Health Record) systems. Conduct insurance verification, pre-authorizations, and coordinate with insurance providers to facilitate smooth billing processes. Handle patient intake procedures, including collecting medical history, updating records, and reviewing documentation for accuracy. Assist with medical billing and coding tasks, including CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding to ensure proper reimbursement. Maintain meticulous medical records and ensure compliance with HIPAA regulations for patient privacy and data security. Provide excellent patient service by answering multi-line phone systems professionally, managing appointment rescheduling, and addressing patient inquiries with care and clarity. Support front desk operations through clerical tasks such as filing, data entry (including 10 key typing), and managing medical records efficiently. Collaborate with clinical staff to develop care plans and ensure accurate documentation review for all patient interactions. Utilize dental terminology accurately to communicate effectively with patients and team members. Experience Proven experience in a dental office setting or medical clinic environment is highly preferred. Demonstrated proficiency with EMR systems such as Dentrix, Eaglesoft, or similar platforms; experience with Epic or Meditech is a plus. Strong knowledge of medical billing, coding (CPT, ICD-9/10), insurance verification, and health information management practices. Familiarity with HIPAA regulations and best practices for maintaining patient confidentiality. Excellent computer skills including Microsoft Office Suite (Word, Excel) and typing skills; familiarity with multi-line phone systems is advantageous. Prior experience in medical administrative support or front desk roles within healthcare settings is desirable. Bilingual abilities are a plus to serve diverse patient populations effectively. Strong organizational skills combined with exceptional phone etiquette and customer service orientation are essential for success in this role.
