Job description Seeking a Global Logistics Specialist to own end-to-end logistics execution for domestic and international shipments of research, development, and GMP/cGMP materials. This role ensures export/import compliance, maintains chain of custody and shipment traceability, and supports timely, compliant delivery across global sites and external partners (e.g., CROs/CDMOs). The position leads and continuously improves global shipping processes, oversees logistics service provider performance, and develops and operates an inventory control system aligned with company procedures and applicable regulations. This is a hands-on role requiring strong attention to detail, excellent documentation practices, and the ability to manage multiple concurrent shipments/projects in a fast-paced, globally distributed organization. Position Responsibilities Global Shipping Execution (Domestic & International) Plan, schedule, and execute domestic and international shipments to support R D, Process Development, QC, Manufacturing, and clinical operations timelines. Coordinate shipment readiness with internal requestors and receiving sites, ensuring clear communication of timelines, special handling requirements, and receipt availability. Ensure shipments are prepared and dispatched using approved couriers and in accordance with company procedures and applicable local/global regulations. Maintain shipment integrity through appropriate packaging configuration, labeling, and use of temperature monitoring devices/data loggers when required. Maintain chain of custody/traceability from pick-up through delivery; ensure transfer of custody is documented per agreed terms and procedures. Export/Import Compliance & Permits Lead global import/export compliance activities for regulated materials, including oversight of shipment documentation packages and customs/broker coordination. Support preparation and routing of documentation for permit and regulatory submissions as applicable (e.g., CIQ applications and associated risk assessment packages for China import/export). Maintain a compliant documentation set for each shipment (e.g., commercial invoice, packing list, shipper/consignee details, permits, declarations, chain-of-custody forms, and temperature records) per procedure. Monitor and communicate emerging regulatory changes impacting shipping, customs, and trade compliance; update procedures and training accordingly. Quality & GMP/GDP Alignment for Materials Execute logistics activities in a manner consistent with GMP/GDP expectations for controlled materials, including documentation completeness, inspection readiness, and traceable handling. Ensure storage/handling requirements and environmental conditions for customer-supplied materials and products are understood and communicated to logistics providers and receiving sites. Support deviation/excursion documentation and investigation inputs for shipment events (e.g., temperature excursions, delays, packaging damage), including timely escalation and documented corrective actions per procedure. Maintain shipment records and related quality documentation per record retention requirements. Logistics Service Providers & Performance Management Manage logistics service provider relationships, including onboarding, performance monitoring, issue resolution, and contract adherence. Drive continuous improvement for shipment reliability (on-time performance, reduced excursions, reduced customs holds) through root-cause analysis and corrective actions. Maintain approved vendor lists and support vendor qualification/periodic review activities as required by Quality. SOPs, Tools, and Training Develop, implement, and continuously improve logistics procedures, SOPs, checklists, and tools to standardize compliant shipment execution globally. Provide training to employees on shipment request processes, labeling/packaging requirements, documentation expectations, and updates to shipping procedures. Establish standard work for shipment request intake, approvals, booking, dispatch, tracking, receipt confirmation, and close-out documentation. Inventory Management & Control Lead co-development and implementation of a global inventory control system for materials and supplies; ensure compliant execution of receipt, storage, issuance, reconciliation, and disposition processes. Maintain accurate inventory records (location, lot/serial, expiry, status) for controlled materials; coordinate replenishment planning with functional owners. Coordinate storage capacity planning and shipment staging needs, including cold storage and controlled access areas as applicable. Cross-Functional Project Support Partner with
CMC, QA/QC, R
D, Manufacturing, and external partners to forecast shipment demand, align timelines, and mitigate risks to program milestones. Plan and manage logistics projects according to internal company goals and priorities; provide clear status updates and risk/issue escalation when needed. l
EXPERIENCE AND QUALIFICATIONS
Required Bachelor's degree from an accredited institution. 5-8+ years of relevant experience in logistics, shipping, lab operations, and/or supply-chain management. Demonstrated experience coordinating and shipping GMP/cGMP materials (e.g., controlled, temperature-sensitive, time-critical, or regulated biological materials), with strong documentation and traceability practices. Working knowledge of GMP/GDP expectations and ability to operate in an inspection-ready environment (documentation discipline, change control mindset, deviation awareness). Experience managing international shipments including customs documentation and coordination with brokers/couriers. Strong planning and organizational skills with proven ability to manage multiple projects simultaneously and meet tight deadlines. Proven ability to work efficiently and independently; strategic thinker, self-starter, and results-oriented. Excellent software and computer skills, including strong working knowledge of Microsoft applications (Office, PowerPoint, Outlook). Strong communication skills; able to coordinate across functions and geographies and with external service providers. Preferred Biopharmaceutical, cell and gene therapy, oncology, or immuno-oncology experience. Experience with dangerous goods (DG) and/or International Air Transportation (IATA) ( shipping requirements (as applicable to shipped materials). Experience implementing inventory systems or digital tools for controlled materials tracking. Experience developing SOPs, work instructions, and checklists in a regulated environment; training delivery experience. TRAVEL Up to 10% travel required, as business needs dictate.
