Full-time Overview:

The Samples Coordinator's primary responsibility is product Samples fulfillment and document control. The Samples Coordinator must be highly organized to effectively manage sample inventory, monitor supplier activity, collaborate with the sales team on sample projections, and coordinate the shipment of samples to prospective customers. This role requires a high level of organization, strong self-direction, and the ability to adapt to change.

Responsibilities:

Samples Coordination Support internal team members with updates on inventory and requests for product samples. Ongoing communication throughout the day with counterpart regarding sample supply and inventory exchange. Communicate with suppliers; build and maintain effective working relationships. Send tracking numbers for product samples and requests to the internal team. Follow the proper protocol of storage and shipment of samples as required according to the Safety Data Sheet.

Maintain inventory of supplies:

containers, labels, packing materials, and boxes. Maintenance and organization of sample area. Maintain sample stock inventory, and balance monthly demand with potential expired sample waste. Prepare samples, seal, and label to include any GHS warnings. Follow OSHA and MSDS guidelines for safety, including proper PPE requirements. Ongoing safety training (HAZMAT and OSHA). Use FedEx and UPS sites for shipping labels. Assemble boxes and samples and prepare for shipments. Document Control, Fulfillment, and Retention Accurate data entry, update, and maintain Excel log sheets. Receive Certification of Analysis (COA), verify and audit sheet for any discrepancies. Manage and store product documents. Quality assurance of sample product labeling. Ensure correct documentation and specifications are listed according to regulations. Ensure that all products received meet specifications and have proper documentation. Save all documentation using the proper naming convention. Create drum and tote labels. Process and submit final Bill of Lading (BOL) and COAs.

Additional:

Front office communication. Performs miscellaneous job-related duties as assigned. Ability to communicate with all levels of internal and external team members and vendors. Detail-oriented. Excellent follow-up and follow-through skills.

Qualifications:

Bachelor's degree required, business administration, purchasing, logistics management, or a similar field is preferred. Minimum of 2-5 years in purchasing, inventory, and/or supply chain management experience. Chemical and/or specialty ingredients experience is plus. Business knowledge of inventory and supply-side logistics. Must have excellent communication, organizational, and problem-solving skills. Must demonstrate attention to detail and accuracy in work product. Proficient in the use of Microsoft Office. ERP system, Chempax/Datacor experience is a plus. Occasional lifting and/or moving of up to 10 pounds.
