Summary:
We are seeking a detail-oriented and organized Operations Officer to join our growing RIA firm. The Operations Officer will be responsible for managing and optimizing our operational infrastructure, ensuring seamless client service, accurate transaction processing, and efficient system performance. You will work closely with advisors, clients, and vendors to deliver exceptional operational support as well as support contracting and document and processing operations.
Key Responsibilities:
Oversee the full lifecycle of client accounts, from onboarding to maintenance and transactions, including contract preparation. Manage and optimize the firm's technology stack, including CRM, portfolio accounting systems, and trading platforms. Assist in maintaining compliance with regulatory requirements by maintaining accurate records and supporting compliance reporting. Identify and implement process improvements to enhance operational efficiency and the client experience. Serve as a key point of contact for operational inquiries from clients and advisors, providing timely and effective resolutions. Collaborate with cross-functional teams to support the firm's growth and strategic initiatives. Assist CEO in personal agenda, presentations, events. Assist in hiring, onboarding and offboarding advisors and clients with software in order to ensure a correct flow.
Requirements:
Bachelor's or Associate's degree in finance, business, or a related field, including AI for Automation and Virtual Assistants set-up. From 0 to 1 years of experience in operations, client service, or a related role in financial services. Experience with financial software systems (e.g., RightCapital, Schwab, Docusign) is a strong plus. Strong knowledge of
SEC/FINRA
regulations and their impact on operations. Series 65 license (or willingness to obtain) is preferred. Excellent organizational, communication, and problem-solving skills. High attention to detail and ability to handle sensitive information with integrity.
Preferred Qualifications:
Experience in a Registered Investment Adviser (RIA) or wealth management firm. Certification in financial operations or compliance (e.g., CRCP, CAMS). Experience with project management and process improvement initiatives. Advanced proficiency in Excel and data analysis. Availability to work in-office at Coral Gables location.
