Job Details for Operations Analyst Court Name/Organization Florida Middle District Court Overview of the Position The Middle District of Florida seeks a full-time Operations Analyst for the Tampa Division to support the Court's mission of providing fair and impartial justice to all.   • $80,265 Announcement Number 26-37 Position Description The Operations Analyst performs a broad range of duties in support of court operations, primarily assisting the case administrators and other staff by performing the following duties: Receives and reviews incoming documents to determine conformity to appropriate rules, practices, and court requirements.
Performs mail-related duties such as receiving, opening, and routing mail to appropriate parties, metering mail, and preparing packages for shipment. Performs case assignment and docketing. Performs financial duties. Scans documents, maintains quality control of scanned documents, and verifies that documents have been docketed to the correct case. Assists the public with case information, archive information, and the use of public terminals. Requests case files and documents from archive facilities. Assists with electronic records management initiatives, including scanning, digitization, and quality control of archived documents. Facilitates the organization, storage, retrieval, transfer, and destruction of case files and administrative records. Retrieves case files for the public, court staff, 11th Circuit Court of Appeals, and federal agencies. Organizes and processes case files returned by the 11th Circuit Court of Appeals. Reviews, performs research, and responds to inquiries and requests from judges, judicial staff, clerk's office staff, other agencies, prisoners, or the public in written or oral format. Prepares exemplifications, certified and non-certified copies, apostilles, and certificates of search. Assists with procuring and scheduling contract court reporters. Assists with onboarding of new court employees including, but not limited to, building access requests and scheduling fingerprinting. Schedules interviews, prepares paperwork, and coordinates with HR when hiring personnel. Prepares court-generated documents for mailing. Reviews print logs of court-generated documents for mailing; notifies appropriate parties of any discrepancies or errors and resolves them accordingly. Creates and maintains spreadsheets using Excel. Assigns, tracks, and processes digital transcript requests. Monitors divisional email boxes and processes appeals, and case/docket modifications and corrections. Performs other duties as assigned. Qualifications Requirements include a high school graduate or equivalent and a minimum of three (3) years of progressively responsible legal administrative work experience, requiring the regular and recurring application of clerical procedures involving the routine use of specialized terminology, keyboard skills, and demonstrated ability to apply a body of rules, regulations, directives, or Laws. Fast-paced position requires incumbent to present a professional demeanor at all times, be extremely detail-oriented, and possess strong organizational and communication skills. CM/ECF experience is highly desirable, but not required. Experience with Microsoft Word and Adobe Acrobat is helpful.
