POSITION OVERVIEW
Scion Nonprofit Staffing has been engaged to conduct a search for a Grant Operations Analyst for a mission-driven philanthropic organization. This is a full-time, hybrid role based in the Palo Alto, CA or Reno, NV area. Relocation support may be provided for the right candidate. The Grant Operations Analyst plays a critical role in supporting the organization's grantmaking infrastructure through a blend of system administration, data management, and grants management support. This position serves as the primary administrator for the organization's grants management system (SmartSimple), ensuring system functionality, data integrity, and user support across internal and external stakeholders. This is an ideal opportunity for a detail-oriented and technically skilled professional who enjoys both systems configuration and hands-on data work, and who is passionate about supporting impactful philanthropic initiatives.
RESPONSIBILITIES
System Administration & Technical Support Serve as the primary point of contact and subject matter expert for the grants management system, including configuration and optimization Manage day-to-day system administration including technical support, user setup, permissions, and overall system configuration Develop and maintain workflows, portals, dashboards, reports, and visualizations to meet evolving organizational needs Develop and maintain system documentation, training materials, and user guides Lead onboarding and ongoing training for staff on system usage and best practices Partner with external vendors and system providers to manage upgrades, enhancements, and issue resolution Data Management & Integrity Ensure the accuracy, completeness, and timeliness of all data within the grants management system Perform high-volume data entry for grant applications, reporting, payments, and documentation Conduct routine data audits to identify and resolve inconsistencies, duplications, and errors Support data cleanup initiatives Maintain strict adherence to data governance, confidentiality, and compliance standards Grantmaking Operations Support Support day-to-day grantmaking activities, including application tracking, reporting, and document management Assist with budget tracking, task management, and workflow coordination across grant portfolios Ensure compliance with internal policies and external regulatory requirements Stay informed on grantmaking best practices and serve as a resource to internal teams Contribute to process improvement initiatives, helping to design and document efficient workflows and procedures
QUALIFICATIONS
Experience administering SmartSimple or a similar grants management system Strong data management experience with a high level of accuracy and attention to detail Advanced proficiency in Microsoft Excel, including data analysis and cleaning functions Strong technical aptitude with the ability to learn and adapt to new systems Excellent organizational and time management skills with the ability to manage multiple priorities Strong communication and interpersonal skills with a customer service-oriented mindset Ability to work both independently and collaboratively in a team environment Experience working in a nonprofit, foundation, or philanthropic environment (Preferred)
COMPENSATION AND BENEFITS
This position offers a competitive salary in the range of $85,000 to $110,000, depending on experience, along with a comprehensive benefits package and the opportunity to contribute to meaningful philanthropic work in a collaborative and mission-driven environment.
