About Second Harvest of Silicon Valley Founded in 1974, Second Harvest of Silicon Valley is one of the largest food banks in the nation and a trusted nonprofit leader in ending local hunger. The organization distributes nutritious groceries through a network of nearly 400 partners at drive-thru and walk-up sites across Santa Clara and San Mateo counties. pandemic, and the rise in inflation, Second Harvest is now serving an average of about 500,000 people every month. About the Position The People Operations Analyst II is responsible for executing and owning clearly defined People Operations workflows end-to-end. This role builds on foundational execution by taking full accountability for specific processes while continuing to operate within established systems, policies, and SOPs. The Analyst II is accountable for the accuracy, completeness, and consistency of assigned workflows, and is expected to exercise sound judgment within defined boundaries while escalating complex or ambiguous issues. Working closely with Senior People Operations leadership, this role ensures operational consistency, supports data integrity, and contributes to process improvements within a structured scope of ownership, including leveraging tools and technology (e.g., AI) to enhance efficiency and workflow effectiveness. This job might be for you if: You take ownership of your work and are accountable for accuracy, consistency, and outcomes You are detail-oriented and comfortable working with data, systems, and structured processes You exercise sound judgment, identify issues proactively, and escalate appropriately Responsibilities People Operations Execution Execute core HR workflows (onboarding, offboarding, employee changes) with a high degree of accuracy and independence Handle more complex or non-routine transactions with minimal supervision Ensure adherence to SOPs while identifying opportunities for improvement Process Ownership (Defined Areas) Take ownership of specific workflows or process components (e.g., onboarding coordination, reporting cycles, benefits tracking) Monitor process performance and ensure consistency and quality Identify inefficiencies and recommend improvements HRIS & Data Management Maintain and update employee data in HRIS systems with strong attention to accuracy Support data audits and validation efforts Troubleshoot basic system issues and escalate more complex problems Reporting & Analysis Support Generate and validate standard reports (headcount, turnover, benefits, compliance) Analyze data for trends or discrepancies and flag insights Support preparation of reports and dashboards for leadership and PBPs Leverage advanced Excel formulas (e.g., XLOOKUP, INDEX/MATCH, SUMIFS, COUNTIFS, IF/IFERROR) to reconcile data across systems (e.g., HRIS, benefits, leave vendors), ensuring accuracy and consistency in People reporting. Compliance & Documentation Execute compliance-related processes (audit preparation, compliance monitoring, documentation governance, and internal controls) Ensure records are complete, accurate, and audit-ready Identify risks or inconsistencies and escalate appropriately Employee Support & Intake Serve as a primary point of contact for employee inquiries Resolve moderately complex questions independently Escalate sensitive or high-risk issues appropriately Cross-Functional Coordination Partner with PBPs, Finance, and vendors to support workflows Coordinate across teams to ensure smooth execution of People Ops processes The ideal candidate will possess the following professional qualifications: 4-6 years of experience in HR or People Operations Experience working with HRIS systems and employee lifecycle processes Demonstrated ability to independently manage defined workflows Strong attention to detail and ability to manage multiple priorities Foundational understanding of compliance and HR operations Reports To People Operations Manager Location Second Harvest of Silicon Valley, Cypress 4001 N. First Street San Jose, CA 95134 This is a hybrid position. Specifics of work location will depend on department need. An employee's regular remote work site should be within driving distance of one of Second Harvest's locations and must be within the state of California. Hours Full-Time. Exempt. 40 hours/week, with some evening and weekend work as necessary . Compensation $83,481.00- $98,213.00 is the wage range for this position. The salary wage offer will be commensurate with skills and experience. Outstanding and generous health benefits program, 4-5 weeks of Flexible Time Off (vacation and sick), eleven paid holidays, and retirement plan. Hiring Process & Timeline We aim to provide a thoughtful and timely experience for all candidates. Due to the structured and time-bound nature of our hiring process, interviews will be scheduled within the timeframes below and limited flexibility for rescheduling may be available. Application Review (April 28 - May 17) Our team reviews applications and selects candidates whose experience best aligns with the role. Initial Screening Interviews (May 19 - May 21) Selected candidates will be invited to a 30-minute virtual screening interview. Hiring Manager Interview + Scenario (June 1 - June 5) Candidates who advance will meet with the Hiring Manager for a deeper discussion of their experience. This step includes a brief, job-related scenario to understand how you approach real-world situations. Panel Interviews (June 9 - June 12) Final candidates will participate in a panel interview with members of the People & Culture team. Offer & Hiring Decision (Week of June 15) We anticipate making final decisions and extending offers during this timeframe.
