Preferred Qualifications Job Description Summary The University of South Alabama's Central Housing Office is seeking to hire a Coordinator, Housing Business Operations. Interested candidates should apply to be considered. Essential Functions These are the job duties required of the position. Essential Functions Assists with financial operations, record-keeping, room assignments and changes, billing, delinquent payment follow-up, and account reconciliations within the USA Housing Department. Works with multiple software systems to process student transactions accurately and efficiently with a high level of customer service. Assists the Assistant Director with residence hall and meal plan assignments for all students living on campus. Monitors the residence hall waitlist process, ensures transparency, efficiency, and timeliness of communication, offers, and updates to students. Manages billing for transitional housing, including early arrivals, move-over, and late stay. Works closely with the professional live-in team regarding occupancy management. Troubleshoots or problem-solves students' questions related to room reservations, room changes, wait lists, cancellations, and move-in and move-out processes. Provides a high level of customer service for all constituents. Responds to housing concerns from students and families. Audits student accounts to ensure accurate and timely billing regularly. Verifies and processes residence hall charges and credits, lock out charges, and damage billing. Communicates residence hall contract policies and procedures to students, parents, and staff. Under the direction of the Assistant Director, oversees invoicing and payment for University faculty/staff and non-students for co-op, internships, summer camps, or conference groups. Maintains accurate, up-to-date records of housing assignments, room billing, room descriptions, vacancies, and addresses. Manages communication, relationships, database, and outreach for short-term summer camps and conference groups, reserving spaces and completing contracts in a timely manner. Enters debits and credits into software databases accurately. Monitors and follows up with students to ensure payments are made. Facilitates the room removal process for students who are in non-payment status or who remain un-enrolled after appropriate notification is provided. Produces accurate reports on a weekly and as-needed basis as requested by the Assistant Director. Regular and prompt attendance. Ability to work schedule as defined and overtime as required. Related duties as required.
