Job Description

Director of Financial Operations & Executive Support Company:
Dutchman Realty Inc.
Location:
Scottsdale/Cave Creek, Arizona Compensation:
$45-$50 per hour, depending on experience
Schedule:
Initially up to 40 hours per week during onboarding and setup. After approximately 30-60 days, the position is expected to transition to 25-30 hours per week. About the Position Dutchman Realty Inc. is seeking an experienced Director of Financial Operations & Executive Support to work directly with the owner of a long-established real estate brokerage specializing in land, farms, development, investment, commercial, industrial, and multi-family properties. This position combines financial operations, bookkeeping oversight, executive support, office administration, and personal assistant responsibilities. The ideal candidate is highly organized, proactive, trustworthy, and comfortable working independently. This is an excellent opportunity for someone who enjoys helping a business owner stay organized while managing important financial and operational responsibilities. Primary ResponsibilitiesFinancial Operations Manage day-to-day financial operations Oversee accounts payable and accounts receivable Reconcile bank and credit card accounts Maintain QuickBooks records and reports Monitor cash flow and account balances Coordinate with CPA, tax professionals, and financial advisors Process vendor payments and invoices Track estimated tax payments and financial deadlines Maintain organized financial records and documentation Prepare monthly financial reports for management review Assist with budgeting and financial planning Executive Support Manage calendars, appointments, and scheduling Coordinate travel arrangements Prepare correspondence and reports Maintain CRM and client databases Organize electronic and paper filing systems Coordinate meetings and follow-up activities Manage special projects and research assignments Work directly with vendors, consultants, and service providers Assist with technology and office-related projects Administrative & Personal Assistant Duties Coordinate personal and business appointments Manage service providers and contractors Track ongoing projects and deadlines Assist with office and technology setup Help organize business processes and procedures Handle confidential information with discretion Provide general administrative support as needed Qualifications Minimum 5 years of experience in financial operations, bookkeeping, accounting, executive support, office management, or business operations Strong QuickBooks experience required Excellent organizational and time-management skills Strong written and verbal communication abilities High level of professionalism and confidentiality Ability to work independently and solve problems Strong attention to detail and follow-through Proficiency with Microsoft Office and cloud-based software Comfortable learning new technology systems Preferred Qualifications Real estate industry experience Property management experience Construction or development industry experience Banking and cash management experience Experience supporting business owners or executives Experience managing multiple projects simultaneously
