Why This Role Exists ChartRequest has grown rapidly, and its operational backbone must scale with equal discipline. The Director of Operations will serve as the operational heartbeat of the company—bridging financial rigor, IT project governance, and EOS execution under one accountable leader. This role exists to bring structure, visibility, and leadership to three interconnected functions that currently operate with strong individual contributors but lack unified management. Working alongside an Executive Operations Coordinator based in the Philippines, this person will ensure that financial reporting is airtight, technology projects ship on time, recruiting pipelines stay full, and the EOS rhythm runs without interruption. Primary Responsibilities Finance & Accounting Team Management (50%) Own day-to-day leadership of the finance and accounting function, including oversight of AP/AR, cash management, payroll coordination, and monthly close processes.
Manage financial reporting cadence:
flash cash reports, weekly scorecards, P&L reviews, and variance analysis delivered on schedule to executive leadership. Partner with external accountants and auditors to ensure GAAP compliance, SOC 2 readiness, and clean annual audits. Lead budgeting and forecasting cycles using zero-based budgeting principles, ensuring departmental budgets are defensible and tracked. Oversee financial systems and ensure data integrity, process documentation, and internal controls are maintained. Coordinate with the Executive Operations Coordinator on daily finance check-ins, EOD reporting, and corporate expense SOP execution. IT Project Management & Recruiting Guidance (25%) Provide management oversight to the IT team, translating engineering roadmap priorities into structured project plans with clear milestones, owners, and deadlines. Implement and maintain project management frameworks that give leadership real-time visibility into project status, blockers, and resource allocation. Serve as the bridge between engineering and executive leadership, ensuring technical work aligns with business priorities and ships predictably. Guide the recruiting function by establishing intake processes, pipeline tracking, and hiring timelines for open roles across departments. Ensure job descriptions, interview scorecards, and candidate evaluation frameworks are standardized and consistently applied. AI-Powered EOS & Operational Cadence (25%) Own and run the EOS operating rhythm: weekly L10 meetings, quarterly planning sessions, Rocks, Scorecards, and accountability tracking across the organization. Partner with the Executive Operations Coordinator as a domestic counterpart, ensuring seamless coordination between U.S. and Philippines-based operations with clear handoffs and shared visibility. Maintain the V/TO (Vision/Traction Organizer) and ensure company-wide alignment on 1-year and 3-year goals. Leverage AI tools and automation to streamline EOS processes, scorecard generation, meeting preparation, and cross-functional reporting. Identify and resolve operational bottlenecks across departments, escalating Issues (IDS) that require executive involvement while driving resolution on everything else. Document and continuously improve SOPs for recurring operational workflows, ensuring institutional knowledge is captured and not dependent on any single individual. Required Qualifications 7+ years of progressive experience in operations, finance, or business management, with at least 3 years in a leadership role overseeing cross-functional teams.
Strong financial acumen:
experience managing P&L, budgets, cash flow, AP/AR, and monthly close processes. CPA or MBA preferred but not required. Demonstrated ability to manage IT projects or technical teams, including familiarity with agile or structured project management methodologies. Experience running or participating in EOS (Entrepreneurial Operating System) or a comparable operating framework (Scaling Up, OKRs at scale). Proven track record of managing remote or international teams, with sensitivity to cross-cultural communication and time zone coordination. Proficiency with AI tools for workflow orchestration, reporting automation, and operational analysis—not just awareness, but active daily use. Exceptional organizational skills with the ability to context-switch across finance, technology, and people operations without losing rigor. Bachelor's degree in Business Administration, Finance, Operations Management, or a related field. Preferred Qualifications Healthcare industry experience, particularly in health information management, medical records, or healthcare SaaS. - Experience with SMB financial platforms (Xero, Gusto, or similar). Familiarity with SOC 2 compliance, HIPAA, or healthcare regulatory environments. Prior experience as a Chief of Staff, Director of Operations, or VP of Finance & Operations at a growth-stage company (50-200 employees). Certified EOS Implementer experience or completion of EOS training programs. What Success Looks Like Within 90 days, you have taken full ownership of the finance close process, and monthly reporting is delivered within 5 business days of month-end with zero material errors.
IT project delivery improves measurably:
projects have documented plans, status is visible to leadership weekly, and on-time delivery rate exceeds 80%. EOS cadence runs seamlessly—L10s happen on time, Rocks are tracked and completed at 80%+ rate, and Scorecard data is accurate and current. - The Philippines-based team describes the working relationship as structured, communicative, and effective—with clear ownership boundaries and no dropped handoffs.
