We are professional, client-focused, collaborative, and highly organized. We pride ourselves on providing compassionate, responsive, and detail-oriented service while helping families navigate important life decisions. We are looking for a highly organized, proactive Operations Manager and Client Liaison to help keep the firm operating efficiently while supporting attorneys, staff, and clients at a high level. This is an important operations role within the firm and an excellent opportunity for someone who enjoys organization, systems, client communication, and keeping things moving. Who We're Looking For The ideal candidate is: Highly organized, detail oriented, and proactive Responsive and dependable Comfortable managing multiple priorities throughout the day Professional and personable with clients and staff Resourceful and able to solve problems independently Strong with follow-up, deadlines, and communication Comfortable with technology and learning new systems You should enjoy creating structure, improving systems, and making sure nothing falls through the cracks. If you need constant direction, dislike multitasking, or struggle with organization, this position will likely not be a good fit. Responsibilities Client Liaison Manage intake and client follow-up Coordinate consultations, meetings, signing appointments, and meeting deadlines Prepare retainer agreements and process payments and maintain the records in our practice management software Track outstanding documents, signatures, and tasks Serve as an intermediary between the clients and attorneys Maintain high-quality communication throughout the client life cycle Office Management & Executive Support Manage attorney calendars and scheduling Assist with operational organization and workflow management Prepare packets, documents, and materials for meetings and signings Coordinate office vendors, supplies, and administrative needs Experience with legal or office management software is strongly preferred. We currently utilize Clio Grow; Clio Manage; Microsoft 365; QuickBooks; DocuSign; Adobe; LexisNexis Administrative & Marketing Support Track and maintain renewals and certification requirements with our vendors Oversee accounts payable and receivable with our vendors and referral sources Provide support to attorneys and staff on an ad hoc basis Serve as a stand-in to the receptionist or other staff as needed Qualifications 3+ years of experience in office management, executive assistant, legal administration, or operations Prior law firm experience required Estate planning, probate, or trust administration experience is strongly preferred Excellent organizational and communication skills Strong attention to detail and follow-through Ability to manage confidential information professionally Ability to work independently and prioritize effectively
Pay:
$52,000.00 - $76,000.00 per year
