POSITION OVERVIEW
The Commercial Administrative Coordinator is responsible for providing proactive administrative, logistical, and operational support to the Commercial Property Management team. Moving beyond basic clerical tasks, the ideal candidate possesses strong critical thinking, analytical problem-solving skills, and a high degree of independent ownership. You will actively manage departmental workflows, vendor compliance, maintenance tracking, and portfolio data systems to ensure peak operational efficiency

ESSENTIAL JOB FUNCTIONS
Accounts Payable & Compliance Administration Process departmental invoices and coordinate workflows with the Accounts Payable team. Research, manage, and resolve vendor billing discrepancies proactively. Procure, track, and maintain up-to-date Certificate of Insurance (COI) compliance files for all portfolio vendors and tenants. Operations & Maintenance Logistics Actively manage and audit the commercial work order board; collaborate closely with maintenance technicians and Property Managers to ensure overdue tickets are tracked and closed out. Oversee the management of company assets, including commercial fleet vehicle maintenance schedules, mileage tracking logs, office supply procurement, and office equipment maintenance. Assist with processing hours/payroll coordination for maintenance associates and reviewing departmental expense reports. Portfolio Projects & Data Management Coordinate portfolio-wide compliance tracking, including the collection, input, and verification of tenant Gross Sales reports. Manage the input and tracking of required tenant renters' insurance documentation. Provide adaptive, short-term project support for the commercial department as operational needs arise. Tenant & Corporate Liaison Facilitate internal ICI needs and facility coordinates as a tenant of the Brickyard Orange / Riverview corporate office. Maintain professional, clear communication and correspondence with tenants, maintenance staff, corporate executives, and third-party vendors. Maintain organized electronic and hard-copy departmental filing systems. Qualifications and Skills Experience in Commercial Property Management or real estate operations is highly preferred. An active Real Estate License is a strong plus. High School Diploma or equivalent required; advanced coursework or certifications related to business operations or property management are a plus. Proficiency in Microsoft Word, Excel, and Outlook. [

Experience with industry-specific software like Yardi/AppFolio/RealPage is a plus]. Demonstrated analytical skills with a focus on detail, data tracking, and problem-solving. Positive, collaborative, and solution-oriented attitude. Excellent written and verbal communication skills. Ability to work independently with minimal guidance, as well as collaboratively within a fast-paced environment. Must be able to type at least 45 WPM. Must provide proof of eligibility to work in the United States. Must pass a pre-employment background check and drug screening. Must possess and maintain a valid driver's license.
