The office runs best when someone actually runs the office, and that's what this role is for. Role overview We're looking for an Operations Manager to keep the engine room humming. This is an in-office, hands-on, front-and-center role for someone who thrives on structure and loves being the person who makes everything work. You'll be the operational backbone of the company, keeping systems in check, managing scheduling and billing calendars, handling light bookkeeping, and making sure nothing falls through the cracks of the automated portions of the system. This role is for someone who prefers a phone call over an email, takes ownership of recurring responsibilities, and finds genuine satisfaction in a well-run office. Key responsibilities Manage and maintain core operational systems including revenue tracking, and client communications Handle light bookkeeping tasks: invoicing, accounts receivable, payroll coordination. Monitor and respond to inbound communications across email, phone, and ticketing systems daily Track PTO, lateness, and scheduling through internal tools Manage vendor and client communications, including following up by phone when a quick call is the right move Welcome walk-ins and accept deliveries, you'll sometimes be the first face people see Support contract management, onboarding of new clients. Identify gaps in operational workflows and help build systems to address them Help the team keep the office clean, organized, and a fun place people actually want to work Systems you'll work in QuickBooks (invoicing, POS) Outlook Calendar and Email Atera (ticketing and client communication) Microsoft Teams RingCentral (calls and voicemail) Gusto (payroll) DocHub (contracts) Keeper (password management) Experience with all of these is not expected on day one, comfort learning new software is. Required skills and experience 2+ years in an operations, office management, or administrative coordinator role Comfortable with bookkeeping basics — invoicing, AR, and expense tracking Strong organizational skills and the ability to manage multiple recurring responsibilities without being micromanaged A communicator who picks up the phone and gets things resolved Proficient in Microsoft 365 (Outlook, Teams, Excel) Reliable, punctual, and energized by being present and in the mix every day Professional and calm when dealing with clients and vendors Nice to have Experience in an MSP, tech company, or service-based business Familiarity with QuickBooks or similar accounting software Experience coordinating payroll or working with HR/payroll platforms Exposure to CRM, ticketing, or scheduling systems What we offer Competitive pay based on experience Health insurance Paid time off Referral program A team that values competence, accountability, and showing up Real responsibility, you'll own the operations, not just assist with them How to apply Submit your resume and a brief note about your operations or administrative background.
