Manager of Parish Operations About Calvary Calvary is a vibrant Episcopal parish committed to worship, spiritual formation, compassionate service, and meaningful community engagement. Position Summary The Manager of Parish Operations serves as a key leader in the life and administration of the parish, overseeing the day-to-day operational, administrative, communications, and financial support functions that enable Calvary's mission and ministry to thrive. This role serves as the primary leader for the church's administrative and operational systems and plays an essential part in supporting both the strategic and pastoral work of the parish. Working closely with clergy, staff, volunteers, ministry leaders, and parishioners, this individual will help create an organized, welcoming, and effective environment that supports both the internal life of the church and its outreach to the wider community. As the operational leader within the parish, the Manager of Parish Operations will have the opportunity to shape processes, strengthen communications, and help position Calvary for continued growth and impact. The Manager of Parish Operations reports directly to the Rector/Pastor. The Ideal Candidate The ideal candidate is a thoughtful and organized leader with strong operational instincts, excellent communication skills, and the ability to manage multiple priorities with professionalism and grace. This person should be energized by mission-driven work, comfortable working independently, and skilled at building collaborative relationships across a diverse church community. While membership in a faith community is not required, the successful candidate must respect and support Calvary's spiritual mission and values, communicate professionally and compassionately with parishioners and the public, and maintain a high degree of discretion and confidentiality. Key Responsibilities Administration & Operations (40% of time) Oversee the day-to-day administrative operations of the parish office Support the Rector and parish leadership with scheduling, calendar management, meetings, and administrative coordination Prepare Vestry meeting materials and maintain ongoing communication with Vestry members Recruit, coordinate, and support volunteers as needed Provide support to the Director of Calvary Nursery School to make the coordination between the church and school is seamless. Help implement and manage the parish membership database Coordinate office systems, vendors, and equipment maintenance Supervise sexton and other custodial or maintenance personnel Coordinate onsite and virtual meetings, including Zoom and teleconference logistics Participate in staff meetings and prepare meeting minutes when requested Identify opportunities to improve operational systems, workflows, and organizational effectiveness Communications (25% of time) Lead the preparation and distribution of parish communications, including weekly eNews, printed materials, website updates, and other media Coordinate with external communications partners Worship Times to maintain consistent messaging across the website and social media channels Collaborate with ministry leaders to communicate parish life, ministry impact, and opportunities for engagement Work with Worship Times to maintain and update the church website and online giving platform Help strengthen parish communications strategies to improve connection, participation, and visibility within the broader community Finance & Records (20% of time) Coordinate financial processes with the Treasurer, bookkeeper, and external accounting support Support basic bookkeeping and financial administration, including receiving payments, recording bills, and reconciling accounts Maintain payroll records and verify payroll reports Generate and distribute donor contribution statements and ministry-related reports Ensure timely acknowledgment of financial and in-kind donations Assist with diocesan reporting and other special financial projects as needed Additional Support (15% of time) Provide operational and administrative support to staff and ministry leaders as needed Assist with parish events, projects, and special initiatives Perform other duties as assigned in support of the parish mission Qualifications & Experience Required Qualifications Bachelor's degree or equivalent professional experience 3+ years of administrative, operations, management, or leadership experience, preferably in a nonprofit, church, or mission-driven organization Strong organizational skills with the ability to manage multiple priorities independently Excellent written, verbal, and interpersonal communication skills High level of professionalism, discretion, and confidentiality Comfort learning and implementing new technologies and systems Ability to work collaboratively with clergy, staff, volunteers, and parishioners Demonstrated initiative, sound judgment, and problem-solving ability Preferred Qualifications Experience with church administration or nonprofit operations Familiarity with Episcopal Church traditions or other Christian worship communities Proficiency with tools such as Microsoft 365, QuickBooks Online, Constant Contact, Squarespace, Facebook, Instagram, and related platforms What Success Looks Like The successful candidate will quickly be recognized a major asset in facilitating everyday life of the Church. In the first year, the candidate will help strengthen organizational systems, improve communication workflows, enhance operational efficiency, and provide dependable leadership and support for the daily life and ministries of the parish. This person will contribute meaningfully to creating a church environment that is organized, responsive, welcoming, and well-positioned for continued growth and community impact. Work Schedule This is a full-time, primarily in-office position. Typical hours are Monday through Friday, 9:00 a.m. to 5:00 p.m., with occasional evening and weekend responsibilities based on parish activities and events.
