Job Description
Position Overview:
Interested in sports travel and hospitality? Join The Montage Portfolio team this summer! We are seeking a detail-oriented, customer service-driven Hospitality & Hotel Relations Coordinator to help manage the guest experience for our premier portfolio of brands. In this role, you will support the Heads in Beds team by maintaining accurate housing records, ensuring compliance with housing policies, and assisting in providing a positive hospitality experience for all clients during their travel. This role emphasizes data management, communication, and attention to detail to ensure smooth and well-organized accommodations. Event Housing Data & Analytics Logistics Tracking:
Maintain and audit housing tracking sheets via Google Workspace to ensure real-time accuracy for all Heads in Beds events.Software Integration:
Learn the Heads in Beds housing software - EventPipe and utilize Advanced Events System (AES) to identify out-of-town clubs and calculate housing needs based on our "7 rooms per team" compliance standard.Inventory Management:
Monitor club and team blocks, tracking room pick-up numbers and adjusting inventory to maximize Heads in Beds efficiency.Compliance Outreach:
Proactively monitor and follow up with clubs falling below housing requirements, ensuring all participants are aligned with event policies.Market Research & Growth Property Sourcing:
Assist in identifying and vetting new hotel properties for future partnerships in expansion markets.New Market Discovery:
Scout and identify different industries across the country to secure new partnerships for Heads in Beds.Deadline Management:
Track and enforce projected block dates and contract deadlines to prevent inventory loss.Qualifications:
Current student or recent graduate in Hospitality/Tourism, Sports/Event Management, Business, or related field Strong proficiency in Google Workspace (especially Google Sheets and Drive) Excellent communication skills, both written and verbal Exceptional attention to detail and ability to maintain organized records Customer-first mindset with a professional and patient demeanor Ability to manage a high volume of emails and shifting priorities Interest or background in sports, travel, or hospitality is a plusJob Type:
