The Election Administrator is a multifaceted operational lead who plans and coordinates activities across the canvassing board, municipal election services, candidate qualifying, continuity of operations planning, and executive scheduling—while maintaining building access controls for elected officials, communications, and day to day administrative support. The role plans and ensures all pre election, election day, and post election workflows run on schedule, in compliance with Florida election law and internal security procedures, and that stakeholders (canvassing board members, municipalities, candidates, staff, and the public) receive timely, accurate information. What Would You Do? Canvassing Board Operations & Logistics Develop, publish, and maintain bilingual canvassing board schedules. Coordinate meeting logistics, food, notices, and accessibility materials. Prepare canvassing board statistics and reconcile daily reports. Serve as primary communications point for the board. Security Access & Facilities Coordination Manage building and room access for canvassing board operations. Coordinate secure workflows during L&A testing, tabulation, duplication, and audits. Work with facilities/IT on operational layout and equipment needs. Candidate Qualifying & Stakeholder Support Oversee candidate pre qualifying and qualifying intake processes. Track legislative changes and prepare internal updates. Municipal Elections Coordination Build municipal election schedules and cost estimates. Maintain communication with municipal clerks and coordinate deliverables. Continuity of Operations (COOP) Management Maintain, update, and distribute the COOP annually. Update contacts, emergency assignments, vendor lists, and appendices. Coordinate emergency workstation arrangements and communication plans. Senior Level Executive Support & Scheduling Manage calendars for senior leadership, including meeting vetting and preparation.
  • Prepare daily/weekly briefing materials and coordinate high priority deadlines.
Schedule internal and external meetings, maintain contact lists, and support executive level engagements. Monitor incoming public record requests, assign accordingly, and ensure timely completion. What Do You Need To Have?
Education and Experience:
Eight (8) years of progressively responsible experience in elections administration, public sector operations, or program coordination ; or Associate's degree and six (6) years' experience as described above; or Bachelor's degree and four (4) years' experience as described above; or an equivalent combination of education, training, and/or experience. Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations. Knowledge, Skills and Abilities Knowledge of Florida election processes and statutory timelines. Strong organizational, communication, and project management skills. Proficiency with Microsoft 365 applications. High attention to detail in data management and reconciliation. Ability to handle sensitive information and security procedures. Bilingual (Spanish) a plus. Work Conditions & Schedule Extended hours during election cycles. On site presence required during secure operations and canvassing board meetings. Ability to stand for extended periods and lift up to 30 lbs. Compliance, Records & Ethics Follow Minimum Security Procedures and records retention requirements.
