Job Description

Job Description Holistic Wellness & Psychiatry is a growing integrative psychiatry and wellness practice seeking a highly organized, decisive, and accountable Operations Manager / Director of Operations to help lead and stabilize day-to-day operations. This role is responsible for ensuring that systems run efficiently, staff are supported and accountable, and key operational priorities are executed consistently. This is not a passive administrative role. We are looking for someone who can own execution, close loops, and proactively manage operations in a fast-moving clinical environment. Responsibilities Oversee daily operations of a busy outpatient psychiatry practice Ensure front desk, intake, and scheduling systems are running efficiently Hold team members accountable for performance, follow-through, and communication Track and review key metrics (scheduling, utilization, revenue, retention) Identify operational bottlenecks and implement solutions Coordinate across clinical, administrative, and billing functions Support hiring, onboarding, and training of staff Ensure tasks and projects are completed fully (not left open-ended) Improve workflows and help scale the practice sustainably Ideal Candidate Strong organizational and execution skills Able to manage multiple priorities without dropping details Direct communicator who can follow through and hold others accountable Comfortable making decisions and solving problems independently Experience in healthcare operations, medical office management, or similar environment preferred Experience with scheduling systems, billing workflows, or practice operations a plus Not afraid of fast-paced, evolving environments This Role Is NOT a passive administrative assistant role just managing schedules or answering phones waiting for direction on every task This Role IS owning operations and making sure things actually get done closing loops and preventing things from falling through the cracks helping the practice run smoothly and grow Compensation Competitive salary based on experience (typically $60,000 - $85,000+) Opportunity for growth as the practice expands Potential performance-based incentives Why Join Us Opportunity to take a key leadership role in a growing practice Work closely with the medical director to build systems and improve operations Make a meaningful impact on both patient care and business growth To Apply Please submit your resume and a brief note describing: your experience in operations or healthcare a situation where you improved a system or solved a complex operational problem
