Job Description

Job Summary We are seeking a dynamic and highly organized Operations Coordinator to join our team! The Operation Coordinator is responsible for overseeing the daily administrative and operational functions of Beyond Speech Therapy. This role ensures efficient clinic operations, supports clinicians, manages scheduling and billing workflows, and delivers excellent client experience. The Operation Coordinator acts as a key liaison between patients, providers, and administrative systems. Key Responsibilities Operations & Administration Oversee day-to-day clinic operations to ensure efficiency and organization Develop and implement systems for scheduling, intake, and patient flow Maintain clinic policies, procedures, and compliance standards Support onboarding and training of administrative staff Scheduling & Patient Coordination Manage clinician schedules to maximize productivity and minimize gaps Coordinate evaluations, treatments, and re-evaluations Monitor attendance, cancellations, and rescheduling processes Implement strategies to improve patient show rates Billing & Insurance Oversee insurance verification, benefits checks, and prior authorizations Ensure accurate and timely submission of claims Monitor accounts receivable, denials, and reimbursement trends Collaborate with billing personnel or third-party billing services Financial & Reporting Support Track key performance indicators (e.g., cancellations, revenue, utilization rates) Assist with budgeting and expense monitoring Generate reports to support business decision-making Client Experience Ensure a high level of professionalism and customer service Address patient concerns and resolve issues promptly Maintain confidentiality and HIPAA compliance Team Support Serve as a point of contact for clinicians and administrative staff Assist with workflow optimization and problem-solving Support a positive, organized, and accountable work environment
Qualifications Required:
Strong organizational and time management skills Experience with scheduling systems and electronic medical records (EMR) Knowledge of insurance verification, prior authorizations, and medical billing processes Excellent communication and problem-solving abilities Ability to manage multiple tasks and adapt in a fast-paced environment
Preferred:
Experience in a speech therapy, pediatric, or outpatient rehab setting Familiarity with Medicaid and private insurance workflows Experience with practice management software and billing platforms Basic understanding of financial reporting and KPIs Supervisory or leadership experience 2+ years of experience in healthcare administration, clinic coordination, or medical office management Key Traits for Success in This Role Detail-oriented and highly organized Proactive and solutions-focused Strong sense of ownership and accountability Ability to balance structure with flexibility in a growing practice Professional, compassionate, and patient-centered Position Details (Optional to Include)
