About Nirvana Upfitters At Nirvana Upfitters, we design and build custom travel vans that enable people to live more adventurous, intentional lives. Since 2018, we've combined precision engineering with thoughtful design to create vehicles that are as functional as they are inspiring. We are a hands-on, entrepreneurial team that takes pride in craftsmanship, problem-solving, and delivering exceptional experiences to our customers. Position Overview This is a high-impact, multifaceted role working directly with the CEO to ensure the smooth operation and continued growth of the business. You will serve as a central operator across customer experience, business administration, and project coordination—helping translate vision into execution. At Nirvana, we refer to this role as a Passion Kindler —someone who not only ensures the business runs smoothly, but who actively brings our mission to life for customers, partners, and teammates. The ideal candidate is organized, proactive, and energized by working in a fast-paced, entrepreneurial environment. You are equally comfortable interacting with customers, managing projects, and improving internal operations. Core Responsibilities Customer Experience & Brand Representation Serve as a primary point of contact for customers (phone, email, and in person) Deliver an exceptional customer experience from first inquiry through project completion Coordinate and host facility tours and customer visits Manage vehicle drop-offs and pickups Help cultivate a welcoming, organized, and inspiring office environment Business Operations & Administration Partner closely with the CEO to support day-to-day operations and strategic priorities Coordinate scheduling across customers, vendors, and internal teams Support hiring processes, including candidate screening and onboarding Manage office operations, including supplies and vendor relationships Process and code expenses in QuickBooks; assist with invoicing and financial tracking Project Coordination & Execution Manage inbound customer inquiries and generate estimates via QuickBooks Coordinate project timelines to ensure efficient execution and delivery Develop purchasing lists and manage procurement of materials and components Collaborate with build teams to ensure alignment across schedules and resources What We're Looking For Highly organized with exceptional attention to detail Strong communicator—clear, professional, and engaging Self-starter who thrives with autonomy and ownership Positive, team-oriented mindset with a customer-first approach Comfortable working in a dynamic, hands-on environment Willingness to occasionally lift 50+ lbs and engage physically in the workspace Experience & Qualifications 3+ years in business operations, office management, or similar role 2+ years of project coordination or project management experience 1+ year of sales or customer-facing experience Proficiency in Microsoft Office and Google Workspace Experience with QuickBooks (estimates, invoicing, expense tracking) Experience coordinating purchasing or working with vendors Interest in (or passion for) vanlife, outdoor adventure, or custom builds is a strong plus Why Join Nirvana Work in a mission-driven, entrepreneurial environment Be part of a growing company in a high-interest market Flexibility to take advantage of great conditions (e.g., skiing when it snows, surfing when the waves are up) Opportunities for professional growth and expanded responsibility Paid vacation, holidays, and insurance options Location Nirvana Upfitters is based in Leominster, Massachusetts, offering access to the best of New England—mountains, forests, rivers, and coastline—all within reach.
