Job Description

Description We are looking for a contract Administrative Professional to support event activity and daily operations in Baltimore, Maryland. This Contract position plays an important role in coordinating event details, assisting guests and partners, and helping each program or gathering run smoothly from planning through completion. The ideal candidate brings strong organizational skills, sound judgment, and the ability to manage competing demands while maintaining a detail-oriented and service-focused approach.
Responsibilities:
  • Oversee event preparation by confirming room arrangements, checking readiness, and helping ensure spaces are fully set before guests arrive.
  • Work closely with facilities teams, cleaning staff, security personnel, caterers, and other vendors to keep event operations aligned and on schedule.
  • Address day-of-event issues with professionalism, resolve routine concerns, and elevate more complex matters to the appropriate contacts.
  • Assist with post-event wrap-up, including breakdown coordination, follow-up communication, and completion of related support tasks.
  • Manage incoming event requests by gathering key details, identifying client needs, and supporting the intake process for prospective bookings.
  • Coordinate scheduling for meetings, programs, and special activities while helping organize logistics such as catering, audiovisual support, vendor needs, and internal event communications.
  • Prepare and share event summaries, schedules, and internal briefing materials so all stakeholders understand expectations and timing.
  • Maintain accurate records for reservations, contracts, invoices, correspondence, and other operational documentation within event systems and databases. Requirements
  • Prior experience in event support, hospitality, customer service, office coordination, higher education, nonprofit administration, or a related setting is preferred.
  • Strong organizational abilities with the capacity to manage deadlines, details, and multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, with confidence interacting with diverse stakeholders and guests.
  • Proficiency with Microsoft Office applications and familiarity with common digital tools used for scheduling, communication, and recordkeeping.
  • Ability to work independently while maintaining accuracy, follow-through, and effective coordination across multiple teams.
  • Comfortable supporting meetings, events, conferences, or venue operations, including day-of logistics and guest-facing responsibilities.
