Job Description

Position Summary You will be working as the right hand to the Managing Director of a fast growing legacy house of fine jewelry. Your goal is to get it done. You will be responsible for owning projects end to end. The executive team is passionate about driving business and scaling at a healthy pace. The perfect candidate for this position should be able to align themselves with the brand vision and ensure all projects and timelines are met. We're looking for a sharp, tech-forward Operations C oordinator who thrives in a fast-paced environment and is genuinely excited about using AI tools to work smarter and more efficiently. This is not your typical admin role. You'll be the key person responsible for keeping our Shopify POS system running smoothly across multiple locations, integrating AI-powered workflows, and supporting seamless new boutique openings. Key Responsibilities Shopify POS System Management (Primary Focus) Own day-to-day updates, maintenance, and optimization of our Shopify POS system across all store locations. Troubleshoot issues, manage inventory syncs, and ensure real-time accuracy between physical stores and the backend. AI-Powered Product Workflows Expertly integrate Claude AI into Excel/Google Sheets templates for automated product data uploads, bulk editing, and Shopify POS catalog management. You'll build and refine these processes to increase efficiency. Bookkeeping & Systems Integration Support the in-house bookkeeper with basic bookkeeping tasks and ensure smooth data flow between Shopify POS and QuickBooks (sales reconciliation, inventory valuation, and reporting). New Boutique Rollouts Work directly with the Director of Retail to execute new store openings: setting up Shopify POS hardware/software, training store teams, migrating product data, and coordinating office logistics. Office Operations Handle all general administrative tasks — scheduling, vendor coordination, filing, office supply management, and any other support needed to keep headquarters and field teams running efficiently. What We're Looking For Tech-Savvy & AI-Native Mindset You don't just use technology — you stay current with AI tools (especially Claude AI, ChatGPT, or similar) and enjoy applying them to solve real business challenges. Experience integrating AI into Excel/Sheets for e-commerce workflows is a strong plus. Shopify POS Experience Hands-on experience managing Shopify (POS, inventory, or checkout systems) is highly preferred. You're comfortable navigating the platform and training others. Basic Bookkeeping Knowledge Familiarity with QuickBooks, sales reconciliation, and retail financial workflows. You don't need to be a full accountant — just confident enough to help bridge Shopify and accounting systems. Fresh, Adaptable, and Proactive You bring a fresh perspective — open to new ideas, quick to learn, and excited about evolving with technology. You're organized, detail-oriented, and able to juggle multiple priorities effectively. Results-Driven Attitude You take ownership, anticipate needs, and consistently deliver results. Strong communication skills and a positive, can-do energy are essential. Nice-to-Haves Previous experience in retail or multi-location operations Strong proficiency with Microsoft 365 (especially Excel, Teams, and Planner) — you should be a true wizard with Microsoft Teams and Planner for task management, collaboration, and team coordination Interest in fashion/retail and boutique environments
