POSITION SUMMARY
The Operations Manager is responsible for coordinating day-to-day back-office operations to support revenue growth and customer satisfaction. This role bridges sales, inventory, and production—ensuring orders are fulfilled on time while continuously improving internal processes. The ideal candidate will leverage our ERP system (Microsoft Dynamics 365 Business Central) as a core management tool and bring demonstrated leadership in a product-driven, sales-focused environment. |
KEY RESPONSIBILITIES
Production Planning & Scheduling Partner with the sales team to forecast demand and build production schedules within the company's ERP system that meet customer delivery commitments. Monitor capacity utilization and proactively flag bottlenecks or scheduling conflicts to leadership. Coordinate with production floor supervisors to align output with order priorities. Inventory Management Maintain optimal inventory levels through materials planning and reorder-point management using the company's ERP system. Conduct and coordinate regular physical inventory audits; reconcile counts against system records and resolve discrepancies. Develop and enforce inventory control procedures to minimize shrinkage and reduce carrying costs. Order Fulfillment & Customer Service Support Oversee the end-to-end order lifecycle from receipt to shipment, ensuring accurate and timely fulfillment. Collaborate with the sales and customer service teams to communicate lead times, resolve order issues, and manage exceptions. Track and report key fulfillment KPIs (on-time delivery rate, order accuracy, backorder levels) and drive continuous improvement. Vendor & Purchasing Management Manage relationships with key suppliers; negotiate pricing, lead times, and contract terms. Issue and track purchase orders within the company's ERP system; resolve invoice discrepancies with the accounting team. Evaluate vendor performance and identify alternative sourcing options to reduce risk and cost. Office & Administrative Management Oversee daily administrative operations, including office supply procurement, facilities upkeep, and vendor contracts. Develop, document, and maintain office policies and standard operating procedures that improve organizational effectiveness. Ensure cross-departmental communication flows efficiently, with back-office tasks such as reporting and order tracking running on schedule. Reporting & Continuous Improvement Generate and distribute regular operational reports (inventory status, production throughput, order fulfillment metrics) for senior leadership. Identify process inefficiencies and lead cross-functional improvement initiatives using data from the company's ERP system. Support implementation of system upgrades, new workflows, or ERP enhancements as needed. |
QUALIFICATIONS & SKILLS
Required 3-5 years of progressive experience in operations, supply chain, or office management within a product-driven or manufacturing environment. Solid experience with and understanding of ERP systems (e.g., Microsoft Dynamics 365 Business Central, SAP, NetSuite, Epicor, or similar), including inventory, purchasing, and production management modules. Demonstrated ability to navigate and execute daily workflows within an ERP system.
Data-Driven:
Proficient in leveraging ERP modules to extract data, manage reporting, and ensure data integrity across the organization.
System Implementation :
Experience utilizing ERP systems to streamline supply chain and inventory processes and optimize operational workflows. Demonstrated ability to manage multiple priorities, meet deadlines, and lead cross-functional initiatives. Strong analytical skills with the ability to interpret operational data and translate insights into action. Excellent written and verbal communication skills; comfortable presenting updates to senior leadership. High proficiency in Microsoft Office 365 (Excel, Outlook, Teams, Word). Preferred Bachelor's degree in Business Administration, Operations Management, Supply Chain, or a related field. Experience in a wholesale distribution, industrial tools, or manufacturing environment. Familiarity with lean operations principles or process improvement methodologies (e.g., Kaizen, Six Sigma). Experience managing or mentoring administrative or operations support staff. Hands-on experience with Microsoft Dynamics 365 Business Central is a plus. |
