This position plays an integral role in ensuring efficient practice operations by supporting providers, staff, patients, and leadership through the coordination of systems, processes, staffing activities, and technology platforms utilized throughout the organization. The Business Operations Manager will assist with operational problem-solving, recruitment and onboarding efforts, technology administration, new patient workflows, medical records processes, and cross-departmental initiatives that support the overall success of the practice. The ideal candidate is organized, technologically savvy, adaptable, and capable of balancing multiple priorities in a fast-paced healthcare environment. This role requires strong communication skills, sound judgment, attention to detail, and a willingness to jump in where needed to support the team. Operations & Administrative Support Assist with operational problem-solving and coordination of office workflows. Support the practice director and management with administrative and operational needs. Assist with office coverage during staffing shortages or periods of increased volume. Coordinate and prioritize workload among administrative support staff. Ensure operational responsibilities are completed accurately and timely across assigned functional areas. Team Leadership & Staff Development Provide direct supervision and support to assigned administrative team members including the management of payroll for those team members assigned to you. Conduct regular check-ins to monitor workload, performance, and development opportunities. Assist with training, onboarding, and ongoing coaching of team members. Delegate responsibilities appropriately and ensure accountability for assigned tasks. Monitor workflow distribution to ensure efficient utilization of staff resources. Assist leadership with performance management and personnel-related discussions as needed. Foster a positive, collaborative, and service-oriented work environment. Recruitment & Onboarding Manage job postings across recruitment platforms. Conduct initial phone screenings and candidate outreach. Coordinate interview scheduling and candidate communication. Maintain recruitment pipelines and applicant tracking processes. Assist leadership with candidate evaluation and hiring recommendations. Coordinate onboarding logistics for new employees. Support orientation preparation, training schedules, and onboarding activities. Maintain onboarding documentation and employee training resources. New Patient Operations Oversee the new patient intake workflow from initial request through appointment scheduling. Monitor new patient requests and ensure timely follow-up. Assist with tracking conversion metrics and patient acquisition reporting. Systems & Technology Administration Assist with administration and support of practice technology platforms, including but not limited to: Phreesia, Intelichart, Phone systems, Microsoft 365 applications and other operational software utilized by the practice. Troubleshoot technology and workflow issues impacting staff operations that are appropriate to address at the practice level. Coordinate with vendors and support teams to resolve technical concerns. Assist with implementation, testing, and optimization of new systems and technology solutions. Develop training resources and provide support to staff regarding technology platforms and workflows. Qualifications Strong organizational skills with the ability to manage multiple priorities simultaneously. Excellent written and verbal communication skills. Strong customer service and relationship-building skills. Ability to work independently and exercise sound judgment. Demonstrated problem-solving and critical-thinking abilities. Strong attention to detail and commitment to accuracy. Proficiency with Microsoft 365 applications including Outlook, Excel, Word, Teams, and OneNote. Ability to learn and adapt to new software platforms and technologies.

$50,000.00 - $63,000.00 per year
