California Tennis Coaching LLC, San Francisco Peninsula, CA • Part-Time • Starting Summer 2026 ABOUT US California Tennis Coaching LLC is a high-performance tennis company based on the San Francisco Peninsula, operating two premier programs across the Bay Area and delivering premium training environments for players ranging from beginners to nationally competitive juniors. Our program at Stanford University runs under the brand Cardinal Tennis Clinics , offering evening clinics that are expanding significantly from Fall 2026 to run seven days per week. Our program at Foothill College operates under the brand Hoyt Tennis , running full-time training programs, private coaching, and summer camps for serious players pursuing high school, collegiate, and professional-level tennis.

to build the most professional, structured, and high-performing tennis development environment in the Bay Area.
THE ROLE
This is a hands-on leadership position working directly with the senior leadership of California Tennis Coaching LLC, responsible for ensuring both programs operate at the highest standard across all venues and touchpoints — delivering an exceptional experience for every player and family. Operations & Systems Oversee day-to-day operations across all programs — clinics, full-time training, and summer camps Build and refine systems, SOPs, and processes that ensure consistency and efficiency at scale Manage scheduling across both locations, programs, and coaching staff Identify operational inefficiencies and drive continuous improvement Staffing & Team Coordination Own coach scheduling, weekly staffing plans, and real-time cover logistics Lead recruitment, onboarding, and performance management of coaching staff Ensure clear communication and accountability across all team members Maintain high professional standards across both programs Customer Experience Own the full customer journey: enquiries through registration to ongoing experience Respond to parent and client communications with speed, clarity, and professionalism Handle issues and resolve problems with a premium, high-touch approach Represent both brands to the highest standard at all times CRM, Admin & Finance Manage and optimise CRM systems Track registrations, attendance, credits, and payment records Support billing, invoicing, and financial tracking Ensure all operational data is accurate, organised, and up to date Program & Logistics Coordinate logistics across Stanford University, Foothill College, and any additional venues Support the setup and smooth execution of programs, camps, and special events Lead operational planning for expansion into new locations and programs Internal Communications Write and distribute clear, professional communications to staff, players, and families Ensure alignment between coaching staff and operations at all times Support leadership with organisation, planning, and execution
WHAT WE'RE LOOKING FOR
Essential Requirements Proven experience in operations, customer service, or business management Exceptional organisational ability — managing multiple programs and priorities simultaneously Outstanding written and verbal communication skills Strong problem-solving mindset with sharp attention to detail Ability to take full ownership and operate with a high degree of independence High personal standards and genuine pride in delivering a premium experience Comfortable thriving in a fast-paced, performance-driven environment Highly Desirable Background in sports, academies, or youth development programs Experience with CRM platforms Experience managing staff schedules, logistics, or complex operations Deep understanding of customer experience and premium service delivery Genuine passion for tennis or high-performance sport
