Your Role As our Operations and Administrative Assistant, you will be an essential member of our team—helping ensure that our back-office runs smoothly and efficiently. This role is being created to provide dedicated administrative and operational support to our Executive Assistant, Operations Manager, and advisory team. By taking ownership of key administrative and recurring operational tasks, you will help create capacity for strategic projects, firm initiatives, and continued growth. This role is ideal for someone who is detail-oriented, enjoys helping others, and takes pride in creating structure and clarity. This will be a hybrid position, with the expectation that you will work 2-3 days per week in the Saugerties office. Occasional travel (1-2x per year) may be required for team events or trainings. Key Responsibilities Administrative Support:
Assist with answering the phones, scheduling appointments, and general administrative tasks. Gather client documents and update client records. Help organize and maintain digital files. Provide general administrative support for the paraplanning and advisory teams. Manage large data sets, run reports, and keep our CRM up to date. Support the Chief Compliance Officer (CCO) in maintaining accurate documentation, internal records, and reporting processes. Work with the Executive Assistant to help coordinate team gatherings, celebrations, and initiatives that reinforce a positive, inclusive, and collaborative workplace culture.
Business Operations Assistance:
Assist the Operations Manager with vendor relations including technology support, coordinating tickets with vendors or other time-sensitive issues. Coordinate updates in client billing and reporting with our investment team. Assist with broader projects and initiatives as the company evolves. Identify and implement process improvements that support efficiency and elevate service quality. Assist with the quarterly retainer fee collection process. Support the Operations Manager in managing the day-to-day bookkeeping. Qualifications Associates degree required, Bachelor's degree preferred. Minimum 2-5 years of experience in operations or administrative work—ideally in financial services industry. Proficient in the full Microsoft Office Suite, including Outlook, Excel, Teams, Word, and PowerPoint. Experience with QuickBooks and cloud-based operational tools a plus. Strong organizational, interpersonal, and critical thinking skills. Comfort using and learning new technology platforms (experience with CRMs or workflow systems a plus). Excellent written and verbal communication skills. Work Environment & Culture Hybrid position (Monday-Friday, 9:00AM-5:00 PM).
