Position Overview East Valley Children's Theatre (EVCT) is seeking a strategic and highly organized Operations Manager to oversee the organization's day-to-day operations and ensure alignment across administrative, production, and educational programs. This leadership role ensures compliance with standard accounting practices and nonprofit regulations, driving organizational efficiency by supporting staff, managing systems and guiding EVCT's long-term growth. This position serves as a central hub for communication and coordination, working closely with the creative team and other administrative team members. This role plays a critical part in translating EVCT's mission and strategic goals into effective operational practices. Key Responsibilities Organizational Leadership:
Oversee daily operations across programs and departments to streamline workflows, ensure compliance and align with EVCT's mission. Act as the primary liaison to the Board of Directors, provide and present operational reports, partner with the finance committee for the annual budget, and support strategic planning. Identify workflow challenges and implement solutions. Supervise and train staff, support department leads, and foster a collaborative, high-functioning environment. Serve as an organizational representative to families, patrons, donors and community partners.
Financial Oversight:
Process day-to-day transactions across all systems, manage all cash and digital. deposits, and organize and track all documentation for the external bookkeeper. Provide timely and accurate financial data to the treasurer, upon request. Support grant writers and program staff with accurate budgeting, tracking, expense reporting, and data through enrollment management. Human Resources, Compliance, and Risk Management Manage employee onboarding, time tracking, personnel records, and payroll processing for independent contractors while fostering a positive, collaborative and inclusive workplace culture. Support recruitment processes for administrative, educational, and production roles as needed. Manage and maintain all payroll and personnel records in compliance with employment laws and internal policies. Ensure adherence to child safety policies, background checks and mandated reporting standards. Maintain all state and federal nonprofit registrations, insurance policies, and business licenses. Work with external auditors, accountants, and legal advisors to ensure compliance with all 501(c)(3) requirements, such as assisting in the development and documentation of internal controls, financial procedures, and risk management practices. Maintain documentation and initiation of fingerprint clearance cards for employees, contractors, and volunteers. Facilities, and Systems Management Develop and oversee administrative systems, policies and processes across the organization to include registration software, student databases, and office technology. Support logistics for productions, workshops, and special events (e.g., purchase orders, rental agreements, insurance). Develop an organization calendar for all stakeholders to ensure alignment. Develop and maintain relationships with vendors, venues, to ensure program and production needs are met. Ensure the studio spaces adhere to safety standards and are kept in a neat, professional working condition. Identify areas of improvement and make corrections where needed. Minimum Qualifications:
Bachelor's degree in Arts Administration, Nonprofit Management, Theatre, Business Administration, or a closely related field, OR an equivalent combination of relevant education and experience. Requires 1-3 years of proven experience in nonprofit work, accounting, arts administration, or a related field. Ability to obtain and maintain a Fingerprint Clearance Card. Demonstrated experience with basic nonprofit accounting principles (GAAP). Excellent attention to detail, strong analytical and problem solving skills. Ability to work independently and take initiative. Prior experience working in a performing arts environment. Effective communication and collaboration skills with both creative and administrative teams. Working knowledge of software applications such as Adobe, Airtable, GoogleSuite, QuickBooks. Ability to adapt to a quick changing environment and handle multiple tasks and deadlines at the same time. Passion for arts education and nonprofit work.
Desired Qualifications:
3-5 years of experience in nonprofit financial management, accounting, or business operations. Experience with budget forecasting and/or strategic planning. Experience working with senior level management and/or a Board of Directors. Knowledge of Human Resource practices and risk management practices. Experience with nonprofit 501(c)(3) standards.
