Vancouver, WA Position Overview:
Vancouver ADHD & Mood Clinic is seeking a detail-oriented and proactive Operations Manager to support our clinicians and oversee daily clinic operations. This role is responsible for ensuring efficient workflows, regulatory compliance, and a high standard of patient care. The Operations Manager will lead staff recruitment and development, coordinate scheduling and patient flow, oversee financial and administrative processes, and support the clinic's strategic growth. This position also plays a key role in maintaining marketing materials and ensuring a positive, patient-centered experience. This is a hybrid position, with most workdays based in our Vancouver office. Key Responsibilities Clinical Operations Oversight Coordinate and supervise daily clinic operations, including intake, scheduling, and treatment workflows Ensure compliance with documentation and privacy standards (e.g., HIPAA) Monitor patient flow and improve appointment efficiency Staff Management & Development Recruit, hire, train, and supervise clinical and administrative staff Manage staff schedules and ensure appropriate coverage Foster a collaborative, inclusive, and high-performing team culture Oversee weekly and monthly payroll processes Financial Management Monitor revenue and expenses; identify cost-saving opportunities Supervise billing and collections, including insurance and coding processes Ensure adherence to financial policies and reporting requirements Patient Experience & Service Delivery Address patient concerns and maintain high satisfaction levels Promote patient-centered care practices Oversee communication processes such as appointment reminders and follow-ups Technology & Data Management Manage Electronic Health Record (EHR) systems Ensure data privacy and HIPAA compliance Strategic Planning & Growth Collaborate with leadership to implement strategic initiatives and clinic goals Identify opportunities for service expansion and operational improvement Stay current on behavioral health trends, policies, and innovations Support marketing efforts, including promotional materials and website updates Qualifications Education & Experience Bachelor's degree in a related field Minimum of 2 years of healthcare-related experience Skills Strong computer proficiency (Word, Excel, EHR systems such as OneHealth Port and Availity preferred) Excellent organizational and time-management skills Strong written and verbal communication abilities Detail-oriented, reliable, and punctual Ability to learn quickly, work independently, and manage changing priorities Adaptable, self-motivated, and able to perform under pressure
Compensation & Schedule Salary:
$70,000 annually
