Job Description Acton Methodist Church (AMC) is pleased to announce a search for a Director of Operations Position. The Director of Operations provides executive oversight of the financial, operational, and administrative functions of Acton Methodist Church. This role is responsible for ensuring the accuracy, integrity, and compliance of all financial processes, including budgeting, accounting, payroll, audits, cash management, and regulatory reporting. In addition, the Director of Operations oversees church systems, facilities, and operational departments such as Human Resources, Facilities, and Information Technology. The position works closely with the Senior Pastor, Staff Parish Relations Committee, Finance Committee, Trustees and Church Council and other leadership bodies, providing analysis, reporting, and operational support to advance the mission and stewardship of the church.
ESSENTIAL FUNCTIONS
Oversees all weekly payables processing by the Administrative Assistant to ensure it is accurate and timely. Oversees all Payroll submissions by verifying hours are correct, holiday, vacation and PTO hours are correct for each employee. Updates Annual Vacation, PTO and Sick Time and inputs into Payroll system. Coordinates inter-departmental charges and cost accounting. Coordinates all required documentation and processes during the annual audits or reviews, resolves issues and reports results. Oversees the preparation of the annual operating budget. Oversees the cash management and proper investment of funds. Prepares monthly bank reconciliations on all AMC accounts. Prepares reports and attends Finance Committee meetings. Prepares reports for other committees as required. Attends all other Church Committee Meetings including Trustees and Church Council. Attends Weekly Staff Meetings. Occasional weekend and weeknight meetings may be required. Prepares year-end financial, compensation and membership reporting in a timely manner Oversees Administrative Assistant documenting of receipt and posting of all donations, tithes and offerings and other contributions, including non-cash donations. Implements and oversees all methods of electronic gift acceptance. Approves all journal entries and supervises monthly closing. Establishes new year s opening balances of funds, revises account structure as needed and maintains all Custom Reports, and manages access of financial information in the system. Oversees church cost accounting; ensures all expenses are properly charged to correct accounts and within budget and have followed all Policies and Procedures. In consultation with the Finance Committee will approve and manage all Designated Gifts/Donations. Assures compliance with Banking or Investments Entities. Conducts regulatory filings and record keeping as required by the IRS, and non-profit accounting standards. Oversees the annual pledge input and analysis for Stewardship Campaign. Prepares communications with pledgers/donors, and prepares any analysis requests from the Senior Pastor, Finance or Stewardship Committees on the current year campaign. Administers and utilizes the current church management system. Performs operations, maintenance, implementation and improvements on systems, as required. Suggests financial systems improvements, as required. Oversees and manages future transitions of church system. Oversees all financial and operational aspects of Acton Methodist Church including but not limited to Human Resources, Facilities and Information Technology. Oversees the management of all facilities. This includes but is not limited to, the repair, cleaning, security, safe-use, and maintenance of all grounds and facilities and the associated utilities, mechanical, communication, and electrical systems. This requires close communication concerning scheduling of facility use, preparedness of areas scheduled for use, safety, security, code-compliance and energy-efficiency. Responsible for the Church Management System, including leadership of staff and volunteers that support and/or administer the management of the system and data. Bachelor Degree in Accounting; MBA or CPA preferred 5-7 years of management experience Proficient computer skills specifically in Microsoft Office, with extensive knowledge and experience in the use of Microsoft Excel in analysis, modeling and report generation. Excellent written and oral communication skills Experience in Human Resources preferred Experience in church accounting or non-profit accounting preferred (Shelby Systems and Amplify a plus) Other duties as assigned.PHYSICAL DEMANDS
