Job Description

Overview The Firm Administrator serves as the operational heartbeat of Kramer Law — a trusted leader who transforms vision into execution, systems into scalability, and people into high-performing, purpose-aligned teams. Partnering closely with the Managing Partner and leadership team, the Firm Administrator will ensure the firm's growth strategy, financial health, and cultural integrity move in unison. This role is ideal for a strategic and relational leader who thrives in entrepreneurial, people-centered environments and believes that operational excellence and human connection go hand in hand. Core Responsibilities 1. Strategic Leadership & Vision Alignment Partner with firm leadership to clarify, communicate, and operationalize the firm's Vision, Core Values (Respect, Positivity, Working Smart, Urgency, Adding Value), and annual goals. Lead bi-weekly Leadership and Operations meetings, ensuring alignment, accountability, and momentum across teams. Translate strategic objectives into measurable milestones and KPIs for each department, holding leaders accountable for execution. Identify barriers, risks, and growth opportunities — creating proactive solutions to keep the firm on course. Support quarterly and annual planning sessions, ensuring consistent progress toward long-term goals. 2. Operational Excellence Oversee day-to-day operations across all departments, ensuring smooth workflows, efficient systems, and exceptional client service. Implement and refine Standard Operating Procedures (SOPs) to build consistency, scalability, and accountability. Champion process improvement and automation through technology and data-driven insight. Collaborate with functional leaders to monitor caseloads, production goals, and staffing capacity. Maintain the firm's project management and meeting rhythm using Ninety.io. 3. Financial Management Partner with the Managing Partner and financial team to oversee fiscal performance, budgeting, case forecasting, and cash flow. Analyze monthly and quarterly reports to identify trends, opportunities, and corrective actions. Monitor KPIs to ensure profitability goals and operational targets are achieved. Oversee vendor relationships, contracts, and cost management with a focus on efficiency and return on investment. 4. People Leadership & Culture Development Lead, mentor, and unify team members, creating a culture grounded in accountability, trust, and shared success. Build and manage the leadership team, ensuring each member operates in their unique ability and within clear expectations. Oversee recruiting, onboarding, professional development, and retention strategies. Reinforce Core Values throughout all levels of the organization. 5. Business Development & Growth Enablement Partner with firm leadership to execute strategic growth initiatives, expand referral relationships, and enhance the firm's market presence. Collaborate on business development and marketing strategies that align with the firm's brand and client experience goals. Evaluate opportunities for expansion, partnerships, and geographic growth. 6. Technology & Innovation Drive technology adoption to improve efficiency and communication across the firm. Oversee systems including Filevine, QuickBooks, and related analytics platforms (DOMO/Periscope). Lead the implementation and ongoing optimization of the firm's Filevine environment to support change management and performance tracking. Evaluate and oversee firm communication platforms, ensuring secure, reliable, and modern infrastructure. Qualifications & Experience Bachelor's degree in Business, Finance, or related field; MBA preferred. 10+ years of progressive leadership experience in business operations (legal industry experience preferred). Personal Injury law experience preferred. Proven experience managing teams, systems, and metrics in a professional services environment. Familiarity with EOS / Ninety.io frameworks and data-driven operational management. Proficiency in Filevine, QuickBooks, and Microsoft 365 Suite. Demonstrated ability to translate strategic vision into actionable execution.

Pay:
$120,000.00 - $150,000.00 per year
